Legal Assistant - Corporate
We are seeking aLegal Assistantin the Corporate Department in our Hong Kong office. As a key member of our team, you will assist in all aspects of the transactional practice including assisting attorneys in the preparation of various transactional and related documents, liaising with clients, banks and/or other parties, and carrying out other tasks and assignments. Strong team coordination and communication skills are essential, as this position will have heavy client contact. If you have a deep understanding of business and commerce, corporate transactional practice, strong communication skills (English and Chinese), and are a team player with a positive attitude, then we would appreciate hearing from you.
In this role, you will:
Provide day-to-day legal and executive support for our partner to associate level lawyers in our corporate and commercial department.
Act as executive assistant to our team leaders to help host clients and overseas visitors, client or industry events, and attend client meetings.
Assist in preparing marketing and pitch materials and brochures.
Process time entry, open new matters, draft engagement letters and audit responses, make travel itineraries, process reimbursement expenses, maintain calendars, and organize and coordinate meetings and conferences.
Proofread and manage pre-bills and work with billing department to generate finalized client invoices.
Maintain client files, review and prepare billing invoices, including other administrative duties.
Create and revise documents, spreadsheets, and forms.
Prepare and submit conflicts check forms, screening forms, and new matter request forms.
Exercise excellent judgment and work independently to determine priority level of work assigned daily to ensure that high priority items are completed in a timely manner.
Be a positive team player and be proactive in developing oneself and supporting other legal assistants and attorneys as needed.
May be requested to perform other duties not listed above.
What we’re looking for:
Hong Kong Secondary School diploma, overseas tertiary education, G.E.D. equivalent or higher.
At least 5 years of relevant experience as a corporate legal assistant working at an international law firm.
Strong communication skills and capable of initiating, drafting, editing and finalizing correspondence.
Proficient in English and Chinese. Proficiency in Mandarin is a plus.
Ability to work well with others.
Ability to multi-task in a highly demanding, deadline-driven environment.
Proficient with Microsoft Office Suite, PowerPoint, and Adobe Acrobat, including Excel spreadsheets and document handling.
Knowledge of Corporate Focus, CapMx, Box.net, Intapp, PowerPoint.
Ability to work overtime as needed.
