This position would involve corresponding with clients, assisting Associate Attorneys and the Paralegals of a busy founding Partner of a growing law firm with various administrative tasks and functions related to the attorneys' practices of law. These attorneys' areas of practice are asset protection, estate planning, business structuring and tax matters, and they have an excellent, cohesive team. Firm is fun, very welcoming, and continually growing, thus there is opportunity for advancement as promoting within is preferred. Applicant is welcome to start as soon as possible.
Essential Duties and Responsibilities:
Schedules appointments and follows up with clients via email and/or telephoneControls and maintains legal documents & digital files in an organized mannerAssists with administrative tasks, such as preparing letters, filing documents, copying, scanning & faxing documents, preparing client portfolios and flowcharts, and sending above via email or USPSFiling business entities with all states and obtaining Employer Identification Numbers under attorney's directionFiling reports of beneficial ownership information and applicant information for business entities in accordance with the Corporate Transparency Act (CTA) to the Financial Crimes Enforcement Network (FinCEN), on behalf of clients, under attorney's direction Maintains a task list of current matters and projects with ability to prioritize based on deadlinesQualifications
Administrative/Receptionist experience in an office environment strongly preferred, ideally more than 1 yearExcellent interpersonal and communication skills, verbally and in writing (including grammar & spelling)Ability to learn existing procedures and organizational system and take direction/feedback graciouslyAfter training, ability to work independently, take initiative, and to multitask and prioritize, often under pressure and deadlinesDetail-oriented, organized, and systematicProfessional appearance, reliable, with a good attendance recordKnowledge of confidentiality practices and procedures and ability to comply with themExperience with Apple computers preferred, as is proficiency with Preview or Adobe and Microsoft Word, PowerPoint, and ExcelMonday - Friday; the office is closed on major holidays.
