Accountabilities
We are seeking a dynamic Late Night Event Coordinator to plan, coordinate, and execute late-night events predominately at Donovan's Pub. The ideal candidate will have a passion for creating memorable experiences, excellent organizational skills, and the ability to handle the unique challenges of managing events during late-night hours. The Late Night Event Coordinator will oversee all aspects of late-night events, ensuring a seamless and enjoyable experience for attendees.
Event Planning and Coordination:
Coordinate and manage late-night and evening programming, primarily Thursday-Saturday;Develop, plan, and execute late-night events, including but not limited to parties, concerts, and themed nights.Coordinate with vendors and suppliers to ensure all elements of the event are in place.Create and manage event timelines, ensuring that all tasks are completed on schedule.Coordinating with campus partners and vendors such as dining services, campus safety, facilities, etc).Assist (as part of the OSI team) with developing, implementing, and assessing large, annual events for the campus community, involving students, staff, faculty, and alumni; including New Student Orientation, Welcome Week Events, Homecoming, Dancefest, Springfest, and other student and staff-initiated University-wide events; Assist with building partnerships and collaborations with campus partners to provide campus-wide programs and events designed to build community, promote leadership, foster engagement, and facilitate student success.
Venue Management:
Oversee the setup and breakdown of late-night events, working closely with the operations team to ensure a smooth transition.Ensure that the venue is appropriately staffed for each event, including campus safety and student workers.Address any issues or emergencies that may arise during events.
Marketing and Promotion:
Collaborate with the Office of Student Involvement Social Media Intern to develop effective promotional strategies for late-night events.Utilize social media and other channels to create buzz and excitement around upcoming events.Monitor and analyze the success of promotional efforts and adjust strategies accordingly.
Guest Relations:
Provide exceptional customer service to attendees, addressing any concerns or issues promptly.Ensure that guests are having a positive experience and that the overall atmosphere aligns with the venue's brand and image.Negotiate contracts with vendors and suppliers to secure cost-effective services.
Compliance and Safety:
Ensure that all events comply with University regulations and safety standards.Collaborate with Campus Safety, Donovan's Pub staff, and other campus partners to maintain a safe and secure environment for guests and staff.Conducting risk management training for student event hosts and staff.
Post-Event Evaluation:
Conduct post-event evaluations to assess the success of each event and identify areas for improvement.Collect feedback from attendees and use it to enhance future events.Develop an assessment plan to measure the effectiveness of initiatives and programs. Support the collection of data and implement program assessment plans to evaluate student learning outcomes and student satisfaction utilizing these data.Perform other duties as assigned.

Preferred Qualifications Experience in a college environmentExperience in large-scale event management preferred
Education
A bachelor's degree or equivalent demonstrated experience is preferred
HS diploma required
