Internship Description:
Project Title: Environmental Justice Records Management
Project Description: The Colorado Department of Public Health and Environment is seeking a highly motivated, passionate, and innovative student to assist the Environmental Justice team in their record management. This intern will be expected to:
Delete old documents adhering to the CDPHE records retention policy
Create an easily followed organization process for documents
Renaming documents as needed for clarity and easy access
Objectives:
The SEP Coordinator will train and provide an operating procedure for the intern, and be available for questions and support.
The intern will review electronic Supplemental Environmental Projects files and determine if they should be either deleted or renamed and organized. There are roughly 3,540 electronic documents that need to be deleted or organized. The intern will sort the files by Division and year, using the SEP naming conventions. Documents of SEPs that closed 3 or more years ago, will be deleted, per the records policy. Additionally, cross referencing the SEP project spreadsheet could occur. Ensuring that all past SEPs are represented in the spreadsheet before deleting or organizing.
These files are all duplicates of files held by each Division’s enforcement and records teams and policies. Having them increases the storage burden on the department and increases efforts should these duplicates need to be located. These files are also disorganized and improperly named, making the location of a specific document difficult. By keeping only the most relevant for easy retrieval and organizing them by the year they closed and the Division, the SEP Coordinator will be able to easily maintain the upkeep of these documents going forward.
This is likely achievable in 80-160 hours. Having this project done by April would be ideal, though extending through August is acceptable.
Deliverables or outcomes: Deleting files while renaming and organizing the remaining.
Which Public Health Core Competencies skills does the project develop?
Analytical/Assessment, Systems Thinking
