We are currently seeking a Clinical Team Scheduler to join our corporate team in Oakbrook Terrace, IL. The Clinical Team Scheduler plays a crucial role in the effective and efficient coordination of the clinical staff which includes Nuclear Medical Technologists, Paramedics and Registered Nurses. The position requires meticulous planning, scheduling, and communication to optimize staff engagement and performance and ensure appropriate coverage for shifts on mobile units and at fixed sites. Candidates should possess the ability to assimilate and interpret information and use initiative to solve complex staffing requirements. This position is hybrid and offers the opportunity to work a schedule of 3 days in office and 2 days remote after completing a successful training period.

Staff Scheduling
Collaborate with clinical and operations managers to create monthly schedules that optimize staff assignments based on geographic location of work site and employee’s home to maximize resource efficiency.
Ensure staff properly licensed to work in assigned location.
Monitor staff absences, vacations and leave requests, making necessary adjustments to maintain adequate staff coverage.
Respond promptly to unexpected staffing changes and arrange for suitable replacements.
Data Management
Maintain accurate and up to date records of staff assignments for each date of service (DOS) on Microsoft Outlook calendars and in scheduling application When I Work (WIW).
Routinely review WIW to add, remove and update details for data sets that include clinical staff users, supervision client locations, mobile unit routes and fixed site locations.
Oversee licensure documentation for all clinical staff, monitor upcoming expiration dates, communicate renewal reminders, and notify supervisors when licensure is not renewed in timely manner.
Sending Monthly Calendars to the states of Arizona and Nevada with the location of our truck each day. If a cancellation, add, or change occurs an updated calendar needs to be sent.
Breaking down of final clinical staff paperwork and uploading documentation to our EMR system.
Will learn as a back up a patient prep call to help assist any patients incoming calls received.
Communication
Function as central point of contact for clinical staff by responding to inquiries and addressing any scheduling or logistical concerns.
Develop good working relationships with clinical staff by keeping them informed and establishing trust through transparency on scheduling decisions made.
Send weekly reminders to clinical staff for upcoming shift assignments and confirm necessary travel arrangements have been made.
Respond to email-generated workflows in a prompt and efficient manner.
Compliance and Regulations
Stay updated on federal and state labor laws, healthcare regulations and internal policies and procedures and apply appropriately when creating clinical staff schedules and managing company resources.
Ensure compliance with legal and organizational guidelines in all job functions.
Manage radiation exposure program for clinical staff via Landauer monitoring platform and collaborate with Radiation Safety Officers (RSO) as necessary.
Evaluation
Identify areas of improvement for scheduling and logistics processes and propose and implement solutions to optimize workflow and resource allocation.
Seek feedback from clinical staff and managers to address concerns and enhance operational effectiveness.
Perform other related duties as required and assigned.
Serve as back-up for booking of staff travel arrangements.
Provide support to other members of the administrative team, as necessary
Competencies:
• Mastery of Microsoft Office, especially Outlook calendars and Excel.
• Proficiency in scheduling applications, preferably When I Work as well as other relevant tools.
• Understanding of principles of schedule development and maintenance.
• Advanced analytical, problem-solving, and organizational skills.
• Demonstrated accuracy in data entry and record keeping.
• Ability to work in a dynamic fast-paced environment and respond quickly to changing priorities.

Requirements
Minimum one (1) year related experience, preferably in a healthcare and/or logistics setting.
High school diploma or GED, some college preferred.
Customer Service oriented background.
Knowledge of basic medical terminology and HIPAA regulations.
Effective verbal and written communication skills.
Diligent attention to detail.
Strong interpersonal skills with capability of working as part of a team.
Maintain confidentiality and discretion when dealing with staff issues.
Ability to remain calm while making decisions under pressure.
