Job Summary and Qualifications
As the Administrative Coordinator you will streamline and enhance organizational processes, from orchestrating seamless new hire orientations and supporting immigration procedures to maintaining clear communications and ensuring compliance with federal and state reporting requirements. The Admin Coordinator plays a crucial role in facilitating effective departmental operations, promoting transparent communication, and upholding the organization’s values and standards.
What you will do in this role:
Streamline and enhance new hire orientation by coordinating onsite and virtual sessions, managing logistics, and ensuring a seamless experience. Track attendance and proactively engage with attendees and speakers, including online chat facilitation.
Elevate immigration and foreign nationals support through execution of Labor Campaign activities including posing targeted interview and eligibility questions to applicants, meticulously recording responses, and subsequently summarizing and reporting findings to the program administrator. Monitor expiring documents, and update I-9 as needed.
Serve as a liaison for Park Plaza amenities, addressing vendor badge needs and communication updates. Strengthen corporate communications by maintaining distribution lists, updating Corp Hub amenities page, and posting approved content for HR Spotlight.
Optimize meeting logistics by planning, executing, and coordinating resources for various meetings. Proactively collect and prepare agenda items and presentation slides for departmental and other gatherings.
Enhance daily departmental operations by managing office supplies, seating charts, and equipment and IT access needs. Efficiently handle collateral orders for campus postings and maintain departmental org charts. Monitor and process incoming mail, including invoices, VOE requests, and HR-related documents. Demonstrate effective communication skills by engaging vertically and laterally across organizational levels.
Ensure timely processing and preparation of Federal and State reporting requirements, including OSHA and OEWS.
Thoroughly document and maintain detailed process documentation for the complex responsibilities associated with this role.
Flexibly handle additional responsibilities as assigned, ensuring a proactive and adaptable approach to varied duties, including supporting HR Ops team as flex resource during PTO, vacancies, special projects, etc.
