   Position Summary

  As a core member of the London People Business Partnering team, you are tasked with helping White & Case translate our business strategy into talent imperatives that deliver on our vision of profitable growth, engaged people and outstanding client relationships.

  The HR Assistant in London is responsible for overseeing the timely and accurate delivery of administrative tasks in relation to key people advisory activities as well as supporting on the delivery of key strategic people objectives. Supporting the HR Business Partner team in London, you will provide timely, effective administrative level support to all key employee lifecycle processes in London and will report to the Head of HR, London.

  You will work collaboratively across the People team by sharing best practices, leveraging backgrounds and skills sets to achieve a cohesive one-team and ultimately one-Firm experience.

   Duties and Accountabilities

  Employee Lifecycle Work closely with the Pre-Boarding & On-Boarding Coordinator as well as the HR Advisors, help to plan and support the weekly induction programme for new joiners including preparing induction packs Own all new joiner administration including creating new joiner checklists and conducting Right to Work checks for all new joiners in London Own the weekly HR report, ensuring that updates are made in a timely manner and it is circulated on a weekly basis Collate monthly payroll data and liaise with the payroll team for processing, flagging any queries with the relevant HR contacts Collaborate with colleagues to provide a comprehensive service with respect to the full employee lifecycle, including advising on general policy queries, assisting with exit interviews as required, scanning and e-filing documents into employee files etc. Assist HR Advisors with PeopleSoft updates including the creation of new joiner and contingent worker profiles, ensuring the system is up to date and changes are processed quickly and accurately With the relevant HR Advisor, assist with the full off-boarding process that includes leaver PANs and systems updates Engage with and assist HR Business Partners on key annual initiatives that include, but are not limited to, performance evaluations and compensation reviews, real time and upward feedback and annual promotion processes

  Employee Relations Take minutes in disciplinary and grievance meetings as required and provide a written summary post meeting for all attendees Assist the HR Advisor with e-filing of relevant documents in relation to any employee relations matters, including settlement agreements, grievance and disciplinary matters

  General duties Work with the HR Advisors to build regular, robust data reporting on key employee lifecycle activities such as joiners, leavers etc Assist HR Advisors with data validation exercises for all London data on PeopleSoft Own the Long Service Award process for London, collating monthly payroll data Build strong working relationships with the HR Shared Services team in Manila Work closely with the HR Advisors in reviewing process efficiencies, working with HR Operations to streamline existing ways of working Assist the Head of HR, London with updating HR policies and processes and ensuring Connect resources are up to date Work closely with the Pre-Boarding & On-Boarding Coordinator on Work Experience requests, owning the administrative aspects of the placements including approvals Contribute to building and fostering a collaborative, collegial, high performing team committed to professional excellence Assist with other ad-hoc People projects as required

   Education and Qualifications

  Educated to degree level or equivalent is desirable Prior administrative experience and an interest in HR

   Essential Requirements

  Proven administrative experience, ideally in a professional services or legal environment A pro-active team player with strong customer service and problem solving skills Experience in developing effective internal client relationships and being a first point of contact for client queries An ability to maintain confidentiality and act with discretion and diplomacy Excellent attention to detail Exceptional organizational and communication skills Self-motivated and able to work under own autonomy as well as of part of a team Calm and resilient, able to work well under pressure and to tight deadlines

   Location and Reporting

  This role is based in the London office Reports to the Head of HR, London Our standard office hours are 09:30 - 18:00
