As a Group Executive Assistant at Novartis, you will play a crucial role in supporting our enabling functions, which include P&O, Finance, Public Affairs, Legal, and Communications. This position is available due to an internal development move within the company.
We are seeking an experienced EA professional who not only possesses strong administrative skills but also has a curious mindset, agility, comfort with ambiguity, and a high level of integrity towards our purpose. This role is a contract (12months).
This role offers a great opportunity for professional growth as it provides exposure to multiple areas within the company, both locally and globally. You will have the chance to gain valuable experience, take on responsibilities, and expand your skillset.
Your Executive Assistant responsibilities include, but are not limited to:
• Administrative support to 5 Leadership team members daily, including coordinate travel, meetings, diary management, and external customer engagements
• Provide briefings to your leaders on critical issues & events across the week ensuring prepared for priority meetings
• Manage pro-active diary management, including field visits, scheduling internal and external meetings, staff lunches and monthly meetings, organization of teleconferences, VCs etc.
• Expense claims and organize necessary business cards/stationary, monitor/action emails-
• Anticipate needs to ensure efficiencies in day-to-day activities.
• Attend leadership team meetings, take minutes/follow up where necessary.
