About This Role:
The College of Veterinary Medicine is seeking applicants for anAccountant II to manage the accounting for all college grant accounts.This includes account setup, accounts payable, accounts receivable,account reconciliation, and financial reporting. In addition, thisposition manages academic department schedule of charges.
Responsibilities include:
ACCOUNTING RESPONSIBILITIES FOR GRANT FUNDING (ALL DEPARTMENTS)
Oversees department fiscal operations related to grant funding includingall accounting expenditures, budgeting and reporting
Reviews all vendor payments being made with grant funds
Advises personnel in the resolution of problematic situations withfinancial and/or customer service issues
Reviews and implements changes in procedure to ensure compliance andincrease effectiveness
Performs monthly reconciliation and review of CVM accounting system andFIS to confirm accuracy and to determine that costs do not exceed theapproved budgets for all grant accounts
Works in conjunction with college Grant Manager and/or Grant Specialiststo monitor activity and resolve issues relating to expenditures andaccount balances of grant funds
Prepares and processes Memorandum of Agreements and related PriorAuthorization Forms when a vendor contract needs established or renewed
Establishes new accounts and budget codes in the CVM accounting systemand monitors all entries to ensure accuracy is maintained for all grantaccounts
Monitor accounts to ensure categories are not overspent
Prepares and analyzes financial summary reports, budget reports, andprojects cash flow (payroll, operating expenses, service income), bothon a monthly basis and on demand
Provides input into management decisions related to the allocation offunds to projects and activities, historical trends in operatingexpenses, and for the operating divisions management decisions
Completes an in-depth fiscal analyses at the close of each fiscal yearto determine specific departures from historical trends and underlyingcircumstances that account for those departures
Communicate with PI and HR Manager to ensure payroll is charged andtransferred as needed and appropriately on all grant accounts
Work closely with Grant Specialists regarding grant award setup andgrant end preparation and reporting
Completes semiannual IDC Center distribution report and transfer
MANAGEMENT OF SCHEDULE O FFEES AND ACCOUNTS RECEIVABLE FOR ACADEMICDEPARTMENTS
Oversees billing and collections
Completes the daily cash drawer reconciliation and deposit report foracademic department service areas
Advises faculty and staff of service options and break-even pricingconcept
Prepares and updates schedule of charges as needed
Assists in problematic billing situations as needed
DEPARTMENTAL STUDENT ORGANIZATION (DSO) and CLASS FUND ACCOUNTING
Determines object codes and budget codes for invoices and completes avariety of payment documents including Agency Payment Vouchers,Interfund Vouchers, Business Procurement Cards, and Transfers of Payment
Manages delegation of authority and gift card process
Posts payment documents to the CVM accounting system accurately byproject number, subgroup, and budget code
Establishes and maintains documentation for payment and archivalinformation
Monitors account balances for each DSO and provides Ad Hoc as well asmonthly reports to the officers and Advisors of each organization
COLLEGE ACCOUNTING
St ys abreast of state policies and procedures for accounting
Provides assistance in training unit and department staff in state anduniversity regulations relative to budget and accounting policies andprocedures
