We are looking for an organized and personable person with excellent customer service to join our team! This person is a key contributor to the success of the department, assisting graduate students, faculty, staff with graduate program support. This position is eligible for hybrid work, with a minimum expectation of 3 days onsite per week. The salary range for this position is $43,000-60,000, depending on qualifications and experience. Purpose: Provides primary program support for current (80+) graduate students in History Ph.D. program, including advising students on program requirements and milestones and maintaining student records. Manages annual admissions process, including advising prospective students on process and content of application and developing recruitment strategies to attract candidates. Organizes annual recruitment weekend and fall Inservice week, including management of overall budget, supervision of graduate student coordinators, reimbursement for current and visiting students, and payment for activities and social events. Reviews and evaluates program policies and implements change when needed. Manages appointment processes and entry for graduate student positions. Supervises undergraduate student assistants and graduate assistants in various roles. Coordinates the graduate studies budget and performs tracking of actuals for graduate program accounts and events and monitors accounts for graduate student use. Advocates on behalf of graduate studies in History at the University of Minnesota in and outside the department. Functions: Student Advising and Consultation - 45% Provides primary program support for current (80+) graduate students in the History Ph.D. program and minor,directing students to the Director of Graduate Studies (DGS) or their faculty advisor as appropriate. Advises prospective and current graduate students on program requirements, milestones, and planning strategies, including admissions and the application process; transitions from other programs and/or readmission to the program; campus visits and relocation; registration; funding options (fellowships and assistantships); non-resident tuition waivers; and health insurance. Advises graduate students on the job market on requirements for and impact of degree completion. Refers graduate students to mental health and relevant resources on campus as needed (Boynton Mental Health Clinic, Student Counseling Services, Disability Resource Center, ISSS). Monitors graduate student progress, including via the Graduate Planning & Audit System (GPAS). Initiates contact with students and faculty, bringing concerns to the attention of students, the DGS, and faculty advisors as appropriate. Works with the DGS, faculty advisors, administrator, and/or chair of the department to recommend solutions to academic and programmatic difficulties as necessary. Meets as needed with each graduate student cohort to review expectations of timely progress toward degree, and to assist in planning steps toward that end. Responds to questions regarding preliminary and final examinations processes and coordinates these exams for all graduate students. Advises international graduate students on specific needs related to the application process and after admission, including I-20 distribution, visa status, and referrals to the International Student and Scholar Services (ISSS) office; travel; SPEAK test, specialized English and classroom training; full-time enrollment status letters; CPT/OPT options. Designs advising procedures that continue to improve and ensure consistency in the advising function. Coordinates advising efforts with the College of Liberal Arts (CLA), the Graduate Scho l, and other University units as necessary. Participates in and contributes actively with the appropriate CLA and Graduate School advising networks. Generates and distributes permission numbers for graduate seminars. Enters graduate grades as needed. Reminds faculty teaching graduate seminars and directed studies regarding incompletes. Determines the placement of registration holds on students' records based on timely degree progress, incomplete credits, and relevant student responsibilities. Develops recruitment strategies that improve diversity in the application pool. Advises incoming students with specific issues including admissions, vocational and career questions, registration, scholarships, fellowships, assistantships, relocation, etc. Maintains student records and permanent files, monitors student progress, processes relevant paperwork and utilizes relevant software and systems to complete responsibilities. Responds to program inquiries, including policy and procedure questions, by email, phone, and in-person. Program Administration (35%) Serves as a resource for faculty, staff, and students on graduate program policy, including applicable CLA, Graduate School, and University-level policies. Coordinates policy evaluation and review as needed, including consultation with students, faculty, departmental administration, and the Graduate School. Initiates and prepares analyses and recommendations on new policy or changes in policy and participates in developing department-level policies and procedures regarding graduate students. Responds to requests for program information, data, and/or reports from department administration, CLA, the Graduate School, and others (the American Historical Association [AHA], Big Ten Academic Alliance (BTAA), etc.) as needed. Maintains data on all aspects of the graduate program, including but not limited to applicants, current and former students, graduate student placement, and funding commitments. Functions as a liaison with relevant academic departments, programs, and units. Manages graduate program admissions process, including application processing in Slate; Graduate School application requirements; file review; fellowship nominations; letters of offer, rejection, or waitlist; recruitment budget; and all inquiries. Coordinates process with the DGS, Graduate Studies Committee (GSC), and department administrator. Coordinates prospective student campus visits and recruitment events. Coordinates policy review and evaluation as needed in consultation with the DGS, faculty, students, department administration and the Graduate School. Coordinates the Fall Degree Progress check-in and Annual Progress review for all graduate students.
