THE COLLEGE: NECC serves about 5,000 credit students each semester on two campuses located in the beautiful, historic Merrimack Valley region of northeast Massachusetts. Our suburban Haverhill campus sits on 106 acres near Kenoza Lake, and features a Technology Center and an award-winning Student One-Stop Center. Our urban campus in Lawrence occupies a number of buildings in the heart of downtown. Most recently, we have constructed a new 44,000 square foot health technologies facility, the Dr. Ibrahim El-Hefni Allied Health & Technology Center. Both campuses are a short drive to Boston and to the beaches and state parks along the coast.

POSITION: Full-Time Staff Assistant - Center for Adult Education: Staff Assistant; Center for Adult Education, Lawrence Campus (420 Common Street); 37.5 hours/week, Schedule: Monday-Friday, 8:00am - 4:00pm; Some evening and occasional Saturday hours during busy registration sessions. Non-Unit Professional Position; Grant Funded Position
SUMMARY: The Staff Assistant reports to the Executive Director, Center for Adult Education. The Staff Assistant will provide administrative support to the Executive Director, Coordinators, and Education and Career Advisors of educational programming within the Center of Adult Education, 420 Common Street, Lawrence, MA.
RESPONSIBILITIES:
Supports and assists Executive Director and CAE coordinators and staff members in administrative responsibilities and duties as requestedUtilizes funder management systems and identified software to ensure accuracy of and maintain student enrollment, class rosters, staff and student schedules, track student refusal of services, and report good timeTracks poor student attendance and provides weekly reportsSupports Learning Specialists and Education and Career Advisors in maintenance of student attendance, education orientation preparation, and schedulingPrints and distributes daily student rosters to Learning Specialists and Education and Career AdvisorsMonitors expenditures to ensure required services are provided according to the approved budget and funds are used within the fiscal year and in compliance with the organizational budgetIdentifies and maintains office inventory and supply needsIdentify vendors, prepare requisitions, place orders for materials and services in compliance with NECC procurement policiesMaintains records of goods ordered and receivedVerifies payment records, reviews invoices and assures expenses are accurate, allowable, reasonable and properly allocated to the correct grant or fundMaintains digital repository of all program related documents; to include curriculum materials, policies and procedures, and guidance documents. Ensures repository is up-to-date and accessible to the CAE teamCreates guidance documents to support program processes and proceduresResponds to inquiries regarding enrollment and schedulingOversees hiring process aligned with NECC hiring requirements, policies and proceduresTracks employee time off schedules and requestsAssists with monthly reportingLeads coordination of recognition ceremonies including; identification of individuals being recognized, preparation of graduation activities; preparation of certificatesSupports Data, Research and Evaluation Specialist in maintaining LACES data

MINIMUM QUALIFICATIONS:
Some college or higher education or two years' experience in an Administrative or Staff Assistant Role Strong Digital Literacy proficiency Excellent written and verbal communication skills Excellent organizational and time management skills Ability to handle deadline driven environment including multiple and simultaneous responsibilities Ability to adapt to constantly changing environments and priorities Strong attention to detail, ability to multi-task, work under pressure with interruptions, meet established deadlines, and work effectively on a team
PREFERRED QUALIFICATIONS:
Bachelor's degree Proficiency with Microsoft Office Suite Highly developed customer service skills Ability to write concisely, to express thoughts clearly and to develop ideas in logical sequence. Ability to work independently and in a team setting. Budget and accounting experience Bilingual (Spanish/English) Experience working with and supporting a culturally diverse population

Additional Information:
SALARY: Anticipated starting salary range is $58,500 - $62,000 annually with complete fringe benefit package including competitive health insurance, dental insurance, basic life insurance, long-term disability insurance, paid sick, vacation and personal leave, educational benefits for employee/spouse/dependents, and excellent retirement benefits.
