RESPONSIBILITIES
The position is an integral part of the office supportFacilities Maintenance: Heating/Air, Fire Alarm Testing, Alarm System, Cleaning & Janitorial, Vending, general building maintenance (contractors for plumbing, roofing, Heating Air, Painting, cubicles, floor cleaning, etc.)Mail Room Activities : SOTF warehouse is 3 miles from office - manages inbound out outbound mail and packages, greets visitors.General Admin for SOTF Leadership: Merchandising: Helps facilitate onsite bi-monthly Supplier Trainings, bi-annual supplier training conference & backup competitive shopping (when possible) Sales: trade shows, Sysco shows & Event Coordination, HR:Security Badge Administration, Colleague events such as monthly Bravo lunches & New Colleague Welcome lunch,President: general admin support,Facilitate Communication: Monthly digital content for TVs, Employee Newsletter creation, Bulletin Boards, Monthly All Colleague Town Hall. Leads with the support of HRG the All Colleague Involvement Committee.Answer incoming phone calls and route to the appropriate individuals.Take messages or field/answer routine questions.Respond to regularly occurring requests for information.Professionally greet and answer general inquiries from general public, vendors and visitors.Announce and log visitors to the facility.Create general correspondence, memos, worksheets, charts, presentations as needed.Retrieve information from files when needed.Coordinate and process incoming and outgoing mail and package deliveries and shipping (i.e., UPS).Responsible for ordering and maintaining office supplies & material and adequate inventory of printer ink supplies.Oversee the maintenance of office equipment, including copier, fax machine, etc.Must display professional behavior, communication and appearance at all times.Must maintain confidentiality of information. Other duties, as assigned.
QUALIFICATIONS
Education
High School diploma or GED required. Associate's degree preferred.
Experience
2 years' administrative experience in an office environment understanding business processes and procedures.
Skills
Excellent communication (verbal and written), interpersonal and professional interactive skills are required.Ability to effectively present information and respond to questions from callers, visitors, vendors, customers, management and inter-department staff. Capable of working with internal staff from other departments in a proactive and constructive manner.Capable of working with minimum supervision and independently or within a team on special projects.Customer Service - Respond promptly to requests for service and assistance as needed. Follow up as needed.Planning / Organization - Ability to prioritize and manage multiple priorities/deadlines and shift priorities as necessary.Uses time effectively.
