  Reports to: PC Manager

  Minimum Qualifications:

  High School Diploma or GED

  Experience and competency with Microsoft Office Suite (Word, Excel, Outlook)

  Knowledge of general accounting principles

  High degree of accuracy, attention to detail and confidentiality

  Excellent analytical, problem solving and decision making skills

  Preferred Qualifications:

  1-3 years of backoffice/reception experience.

  Working Conditions:

  8:00am-5:00pm, Monday -Friday Supervisory Responsibilities: No

  Essential Job Functions:

  RESPONSIBILITIES:

  • Answer incoming client calls and route accordingly

  • Process accurately all sales and purchasing documents (including Sales Registers, Credit Memos, Cash Sales, Non-saleables, Inventory Adjustments, and Cost Adjustments), and at the end of the day prepare CEDNet for transmission of all sales to the Service Center for generation of CED’s A/R end-of-month subsidiary and financial reporting and monthly customer statements.

  • Interact with Division Credit Office for New Account Setup and Tax Exception Credits

  • Prepare outgoing mail

  • Batch Void, No Charge/No Cost Sales Registers

  • Pay Expenses

  • Verify Daily Sales Registers

  • Create Credit Memos for Tax Credits

  • Order Office Supplies

  • Control record retention

  • Manage customer training room schedule

  ESSENTIAL JOB FUNCTIONS:

  • Ability to research Credit Memos.

  • Ability to Batch Void, No Charge/No Cost Sales Registers.

  • Ability to create Sales Registers and Cash Sale Receipts, manual or computer generated.

  • Ability to operate ten-key calculator.

  • Ability to write letters and numbers legibly.

  • Math skills that include calculating percentages, decimals (.1, .01. .001) and discount multipliers.

  • Ability to answer telephones and provide courteous, prompt and efficient service to clients and vendors.

  • Ability to meet specific daily deadlines with possible frequent interruptions.

  • Ability to work at a computer workstation for an extended period of time (up to 8 hours a day).

  • Ability to follow written instructions.

  • Ability to effectively proof documents for errors and proper completion.

  • Filing skills, both alphabetically and numerically.

  • Ability to comprehend, read, and to communicate the English language orally and in writing.

  SPECIFIC JOB DUTIES:

  • Complete Daily Sales Transmittal and Inventory Adjustment Transmittal forms as required.

  • Review inventory adjustments, stock and direct Sales Register, Cash Sale Tickets, non-saleable Registers and Daily Sales Transmittal for correctness and completeness prior to entry into the system.

  • Review all entered documents for accuracy and make necessary corrections.

  • Print and distribute required reports and invoices.

  • Batch and file Sales Registers, Cash Sales Tickets and Non-Saleable Registers daily.

  • Research Sales Tax chargeback and take the appropriate action.

  • Interact with Customers to solve Customer invoicing problems.

  • Create and process credit memos to customers.

  • Request Return Material Authorization from vendors when needed.

  • Interact daily with internal and external customers.

  • Process customer credit card payments.

  • Review new customer credit applications and proceed to account set up if needed.

  • Process end of business day reports.

  • Research accounts receivable problems and take appropriate steps to resolve the customer issue.
