Our Organization and Mission: The Office represents the State of Florida in state and federal civil and criminal courts, from trial courts to the Supreme Court of the United States.
Pay: $36,000.00 Annually
Position Summary: This is a Fiscal Assistant II position within the Office of the Attorney General, Finance and Accounting Unit.
Minimum Qualifications: A high school diploma or its equivalent, and two years of bookkeeping or clerical accounting experience.
College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required experience provided such education includes two courses in bookkeeping or accounting. Vocational/technical training in bookkeeping or accounting can substitute at the rate of 720 classroom hours for each year of the required experience.
The Work You Will Do: The duties of this position may include but are not limited to:
Responsible for mailing warrants received from the State Comptroller for invoice payments to vendors and reimbursements to employees. This includes matching proper documentation (voucher and copy of invoice) to each individual warrant, mailing warrants to proper address, and placing a warrant strip in the voucher file indicating date warrant was mailed to establish a proper audit trail.
Act as the receptionist for the Finance and Accounting Section.
Take incoming calls from outside the office and determine appropriate staff necessary to assist the caller.
Take telephone messages for the Finance and Accounting Administrator.
Responsible for ensuring all mail received in Finance and Accounting is appropriately stamped with a clock-in date and distributed to proper section for disposition.
Process revolving fund check requests daily, as requested.
Prepare copies of all issued revolving fund checks and distribute to appropriate employees.
Determine the type of mailing requirement necessary for these checks (inter-office, federal express, etc.) and mail accordingly.
Assemble in proper order vouchers produced for upload from the Victim’s section.
Scan all vouchers daily after warrants have been mailed.
Make any corrections that are needed after the quality control check has been completed along with additions as requested, and file voucher barcode sheets after quality control has been completed.
Audits monthly maintenance invoices: This will also include preparing code sheets for data entry into the Florida Accounting Information Resource (FLAIR) using the appropriate cost centers and making the required number of copies to be included with the voucher that is kept both internally and/or sent to the Department of Financial Services when required.
Verifies authorization of payment and ensures compliance with 215.422, F.S.
Perform other related duties as required.
