This position is part of the Sherwin Business Services team and plays a key role in the administration and accounting of the Company's retail and non-retail property leases. Primary responsibilities include managing Service Now activity, assisting real estate administration with Notices of Lease and Memorandum of Lease (NOL's/MOL's), and other lease administration tasks. This position will also support real estate accounting in detailed analysis and reconciliation of real estate lease expenses. Monthly this role will also assist in expense variance analysis to ensure accruals are correctly stated. This position will interact with other functional areas, including Enterprise FP&A, Enterprise R&C, SBS GA, BPI, IT, Legal, business real estate executives, landlords, and others, and will be entrusted with high-dollar and high-volume disbursement activities.This is a hybrid role that supports both Real Estate Administration and Real Estate Accounting. Having an individual in such a role will also facilitate backfill for positions on both teams as needed including Corporate Real Estate.Support Real Estate Administration -Ensure timely and accurate administration of Notice of Lease and Memorandum of Lease (NOL's/MOL's). Track and facilitate recording, ensuring compliance with state guidelines. Follow up with Legal and 3rd party with any legal revisions and all stale, non-recorded documents.Coordinate COI Process. Collaborate with 3rd party on all requests. Verify requests for insurance certificates from Landlords remain in compliance with lease provisions. Ensure efficient distribution to landlords per requirements of lease. Track and resolve all escalated issues.Administer and track SNDA requests.Process new supplier requests and verify submission of W-9 forms through the IRS. Assemble and prepare fully executed lease documents for abstraction. Ensure files include all necessary support. Distribute and file, both electronically and physically all lease and lease related documents.Handle Tenant contact form requests and any other duties as identified.Abstract address and ownership changes into Oracle Property Manager, and assist as needed with other tasks, including abstraction of options and amendments.Support Real Estate Accounting -Facilitate and resolve expense reconciliations with missing support documentation. Contact landlords on open requests by email or phone and provide guidance on missing items such as invoices, proof of payment, insurance breakdown.Facilitate ACH Outreach. Pursue conversion of check landlords to ACH. Follow up with new landlords on ACH participation. Track requests and progress through VMMT.Support recovery of credits related to expense reimbursements. Follow up on status of reconciliations waiting on additional expense approval to ensure timely processing.Process expense reconciliations Property Tax, Insurance and Common Area Maintenance, and any other activities as identified.Perform administrative duties for Real Estate:Perform administrative duties, including maintain departmental office equipment, process mail, scanning and payment of invoices, manage team email box, maintenance of Teams and Sharepoint, etc.Backfill roles in both Real Estate Administration and Accounting, including Corporate Real Estate Administration as needed during extended absences or peak periods.POSITION REQUIREMENTSFORMAL EDUCATION:Required:Bachelor's degreePreferredBachelor's degree in Business Administration, Accounting, or related field.KNOWLEDGE & EXPERIENCE:Required:Strong verbal and written communication skills.Expertise in administrative procedures and systems such as word processing, managing files and records, Microsoft Office, email, and other office procedures and terminologyAbility to learn and appl
