Job Description
As the Executive Sales Administrative Assistant you will support the Regional Director of Sales & Marketing, General Manager and Director of Operations. You will be providing organizational and administrative support, oversee the Sales department administrative functions, and work primarily with the Regional Director of Sales & Marketing in aligning our efforts with business needs. This position is based on-site.
Job Title: Executive Sales Administrative Assistant
Hourly Rate: $28.05
What you will do:
Assist RDOSM in Sales Department administrative processes (i.e. invoice management, expense forecasting, payroll management, etc.)
Support internal Sales & Executive Office administration projects, tracking necessary action and updating reports in a timely manner (i.e. annual budget, strategic plan, etc.)
Work with other Sales team members in ensuring progressive practices are in place for all Administrative aspects of the larger office
Ensure the smooth operation of the Sales & Executive Office, ensuring confidentiality
Assist with administrative duties for Sales & Executive Office, including but not limited to sending/distributing mail, answering phones, photocopying, and ordering office supplies
Compose correspondence for the Sales & Executive Office, such as welcome letters, guest follow-up letters, gift certificates, etc.
Arrange all VIP reservation requests and associated amenities
Assist with and support colleague events as appropriate, such as leadership meetings, staff receptions, etc.
Maintain atmosphere of aloha spirit by providing engaging, personalized, timely, and efficient service to our discerning guests; be alert to all guests’ needs and requests
Focus attention on guest needs, remaining calm and courteous at all times
Promote and enforce health and safety awareness as well as to have a complete understanding of the emergency procedures
Follow hotel and departmental policies, procedures and service standards
Contribute to the improvement of the operation by contributing ideas, making suggestions and actively participate in departmental communication meetings
Qualifications
Your experience and skills include:
One year executive administrative assistant experience, preferably within a hotel environment
High School diploma (or equivalent) and/or vocational training
Must be able to speak, read, write and understand the English language.
Requires excellent communication skills, both verbal and written.
Must be able to read and write to facilitate the communication process.
Must be service oriented and capable of communicating effectively with persons involved in all levels of authority, both internally and externally.
Strong interpersonal and problem solving abilities
Must possess basic computational ability.
Must possess computer skills, including a proficiency in Microsoft applications.
Knowledge of Property Manager, OpenTable, OPERA Sales & Catering is an asset.
Must be able to multi-task, be detail-oriented and be organized in a fast paced, high pressure and high volume environment.
Must have ability to work independently and to prioritize or seek clarification in prioritizing work assignments.
Ability to work cohesively as part of a team with minimum supervision
Maintain a professional working environment and attitude.
