What you'll do...
Administrative and Support Services are crucial in the day-to-day business of Walmart. You'll play a key role in facilitating communications, managing schedules, and organizing pertinent information. Bottom line, we need you to keep our business moving forward! Walmart Headquarters is seeking an executive assistant to be based out of our Bentonville, AR campus.
The successful candidate will be a collaborative team member with a friendly energetic work style, exceptionally well-organized, able to effectively prioritize, and take initiative with projects. This role will support the Vice President, Global Food Safety Compliance, and Supplier team specifically, as well as providing general administrative support to the Food safety leadership team.
You will make an impact by...
Managing daily calendars, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes.
Supporting staff meetings, teleconferences, team off-sites, training of 3rd parties and other events (including printing handouts).
Facilitating the monthly external experts speakers, invitations, presentations and meeting invitations
Facilitating expense reporting processes, vendor set up and invoicing.
Managing the Food Safety SharePoint document repository, as well as coordinating external speakers, training and workshops
Having a strong proficiency with all types of computers, as well as mastery of Microsoft Office programs, SharePoint, ServiceNow, Concur, Travel Systems.
Being highly motivated and enjoy working in a fast-paced environment.
Coordinating travel arrangements, both domestic and international (visas, flights, hotel, train and car service, etc.)
Being flexible to work with many different time zones to support a global environment.
Solving problems effectively and creatively while maintaining a high level of professionalism and integrity.
Responsible for invoicing accounts for department (NPNP; IP2P; Wire Transfer Tool; BPM Portal; Translation Services)
Coordinate and manage HR projects and information for department. (Workday, PTT, PTO Tracker)
Support ALL staff meetings (creating decks for birthdays/anniversaries/etc.)
Ordering computer equipment for new hires ad coordinating on-boarding
Supplier team specifically:
Collaborating with suppliers, 3rd parties, finance teams on budgeting and allocating funds for food safety assessments and special projects
Managing supplier documentation in Tracegains/ProSpec/HIVE and FAS
Able to understand/evaluate supplier documentation for proper completion in order to schedule onsite assessment readiness.
Organizing training and evaluation material for supplier workshops. Able to send and receive prework material from workshop attendees
Able to scheduling/booking supplier visit for the supplier management team upon request
Nice to haves...
Advanced MS PowerPoint presentations skills.
Familiar with Microsoft Teams, Zoom, DocuSign, Power BI basics, Excel
10 years' experience working in a large public corporation.
