In the role of Executive Assistant, you will oversee critical tasks and projects alongside the Managing Director of AndGo. Your responsibilities will include procurement, accounting, and administrative duties. Additionally, you will manage the daily operations of our San Francisco office, which encompasses guest coordination, supply procurement, expense reporting, schedule, and travel planning, as well as the organization and execution of various team events.
This is a hybrid role with a minimum of 3 days/week required onsite at our office in San Francisco.
Primary Responsibilities
Purchasing and Executive Assistant:
• Coordinate purchase orders/invoices and oversee inventory of supplies (food, cleaning, office and swag).
• Complete/Manage expense reports for office expenses and overall AndGo operational expenses.
• Manage calendars and travel plans.
• Coordinate/Prepare for visitors (customers, partners, providers, and executives).
Office Management:
• Provide support to visitors and ensure distribution of deliveries.
• Help with office communications and team announcements.
• Liaise with facility management vendors (including cleaning, catering, and security services).
• Support the "Return to the Workplace" plan and adapt execution of plan (as needed).
Team Coordination:
• Work collaboratively to create an inclusive, productive, and fun work environment to drive the company's culture.
• Continuously improve upon the office's layout/function - Troubleshooting common Information Technology (IT)/office problems.
• Coordinate recruiting efforts (including events, candidate communication and on-site interviews).
• Manage the employee on-boarding experience to ensure smooth entry and ramp-up.
Project Management:
• Help execute special projects around accounting, procurement, HR, and operations.
Required Education and Experience
• High School Diploma required.
Bachelor’s Degree in business related disciplines desired.• 2+ years administrative experience required.
Startup experiences desired.• Experience in developing & implementing control spreadsheets for tracking progress & reporting results desired.
• Experience with budget management desired.
• Advanced knowledge of Microsoft Office including, Word, Excel, & PowerPoint.
• Basic knowledge of Microsoft Data Base.
Skills and Abilities
• Ability to take initiative and ownership over sometimes ambiguous tasks and situations with little oversight.
• Knowledgeable of Office Manager responsibilities, systems, and procedures with proficiency in various technologies (MS Office, Slack, etc.).
• Curiosity, attention to detail and passion for problem-solving with excellent time management skills and ability to prioritize work.
• Excellent communication skills (verbal/written).
• Experience with event coordination and vendor negotiations.
• Act with discretion/tact when handling sensitive information.

The pay range for this position is HN - SFN05: 41939 - 59913 - 77887 /yr; however, base pay offered may vary depending on factors such-as job-related knowledge, skills, experience, and market location.
