Administrative Assistant - Global Marketing and CMO Support
Wrocław, Poland
We are seeking a dynamic Administrative Assistant to provide comprehensive support to our globally dispersed Marketing leaders and Chief Marketing Officer (CMO).
This role demands a proactive, organized professional capable of managing business cadence, logistics, calendars, travel arrangements, presentations, and meeting logistics. The ideal candidate will seamlessly handle executive-level tasks, maintaining confidentiality, and contributing to the overall efficiency of the team.
Responsibilities:
Business Cadence Support
Coordinate and support business processes to ensure smooth operationsFacilitate communication and collaboration among global Marketing teams Process and code invoices and facilitate proper expense recognition between Marketing and Finance Coordinate project tracking of M&A projects; maintaining project sheets and proper due dates
Logistics Management
Oversee logistical aspects of projects, events, and day-to-day operationsStreamline processes to enhance overall efficiency
Calendar Management
Efficiently manage complex calendars for Marketing leaders and the CMOSchedule and prioritize appointments, meetings, and events
Travel Coordination
Arrange international and domestic travel, including flights, accommodation, and transportationEnsure travel plans align with the executives' preferences and business requirements
Presentation/PowerPoint Support
Create and edit compelling presentations for Marketing leaders and the CMOCollaborate with teams to produce visually impactful materials
Meeting Logistics and Support
Coordinate and organize meetings, both virtual and in-personProvide logistical support to ensure meetings run smoothly and efficiently
Executive-Level Tasks
Handle sensitive and confidential information with discretionAnticipate needs and proactively address challenges for the executives
Qualifications:
Proven experience as an Administrative Assistant or similar roleExceptional organizational and multitasking abilitiesProficiency in Microsoft Office Suite and other relevant softwareStrong communication and interpersonal skillsAbility to work independently and collaboratively in a global environment7+ years practical experiencePrevious experience supporting C-level executives is highly desirable
