Programme Name: LCST
Location: Bristol, UK. This position is based at our Bristol office (Monday - Friday)

The Role:
We are in search of a highly organised Executive Assistant to provide comprehensive administrative support to our executive team. You will play a crucial role in facilitating smooth operations and maintaining effective communication within the organisation.
You will work closely with senior executives, handle sensitive information, manage complex schedules, and prioritise tasks to ensure the executive team's efficiency and productivity.
Key Responsibilities:
Calendar and Schedule Management:Coordinate and manage busy calendars, including scheduling appointments, meetings, and conferencesArrange travel accommodations, itineraries, and logistics for business trips and eventsProactively identify and resolve scheduling conflicts or issues to optimise executives' timeCommunication and Correspondence:Act as a point of contact for internal and external stakeholders, ensuring effective communicationMeeting Coordination and Support:Organise and prepare materials provided to Programme ManagersCoordinate logistics for meetings, including room bookings, audio equipment, and catering if neededAttend meetings, take notes, and follow up on action items and decisionsInformation Management:Manage confidential and sensitive information with utmost discretion and maintain data privacyMaintain an organised filing system for both physical and electronic documentsAdministrative Support:Prioritise and handle multiple tasks simultaneously, ensuring deadlines are met.Coordinate and support special projects and initiatives led by the executive teamProcess expenses, maintain budget, and have copies of invoices for the department
Required Skills:
Proven experience as an Executive Assistant or similar role supporting high-level executivesExcellent organisational and time management skills with the ability to multitask and prioritise effectivelyStrong communication and interpersonal skills to interact professionally with internal and external stakeholdersExceptional attention to detail and accuracy in all tasksProficient computer skills, including advanced knowledge of MS Office (Word, Excel, PowerPoint, Outlook)Ability to maintain confidentiality and handle sensitive information with discretionStrong problem-solving skills and ability to work independently with minimal supervisionFlexible and adaptable with the capacity to handle changing priorities and work under pressure

The Logistics Commodities & Services Transformation (LCST) Programme for the UK Ministry of Defence is a critical effort to enhance and improve the UK's defence supply chain. The programme provides essential services such as storage and distribution for the MOD's materiel, including a global freight service and the procurement and inventory management of 70,000 commodity NATO Stock Number (NSNs).
