Job Description Your Career
This role will support the VP, GTM & Ecosystems, JAPAC and VP, Cortex JAPAC. The Executive Assistant will be responsible for executive administrative duties, aligning with company priorities and managing executive staff.
Your Impact
Engage in complex communication and calendar management at the executive level includingDrive and track executive-level communication activities, such as (but not limited to) - All Hands events, monthly newsletters, Skip-level meetingsOwn communication event calendars for the VPSupport the preparation of presentations and team communicationsSupport staff meetings, recording of minutes, and action itemsAnticipate potential conflicts (i.e., schedule issues, critical meetings, location issues) and raise to address/resolve in advance whenever possibleCollaborate with cross functional teams on key programs and events, generating business reports on an ad-hoc basisPartner to support team well-being activities and events Support direct staff of VP on ad-hoc basis as neededCoordinate travel arrangements, including flights, transportation, lodging and prepare and submit expense reportsOrganize and assist with online, hybrid and in-person events and large team meetings (e.g., team dinners, leadership off sites, All Hands, and trainings)Manage team distribution lists and reporting structure changes on internal systemsMonitor and review team purchase orders, team expense reports, prior to manager approval (and/or act as proxy approver when needed)Support systems, access, location and IT needs for managers and new employeesProvide project and presentation support as neededResponsible for ordering materials, catering, giveaways, and supplies as needed Qualifications Your Experience
Bachelor’s Degree (or equivalent work experience required) and 3+ years Executive Administrative Assistant experience - supporting executives within the Technology sector and experience in the sales environment a plusProficiency in Google Suite, Concur, Workday and Slack applications is preferredProven ability to always maintain a high level of integrity and confidentialityExcellent writing and communication skills, experience executing communications plans is preferredExceptional organization, prioritization, multi-tasking and time management skillsA proactive and assertive approach to managing tasks and responsibilitiesAbility to solve problems and think quickly under pressureWork effectively as a team player in a collaborative environment as well with EA peers and members of the greater organizationBe comfortable working in a fast-paced, deadline driven environmentPositive attitude and highly professional demeanor and a sense of humor are helpful Position Location - This position overall reports into our Singapore office, with some Flexwork potential
Travel Requirements - Minimal travel may be required
