This will support our VP, STEP Strategic Program Management & Product Operations and Senior Distinguished Engineering Program Manager
Required to come into our San Diego Office 2-3 times a week

Responsibilities:Calendar and Meeting management: coordinate internal and external meetings including staff meetings, agency briefings, brown bags, virtual meetings/Zoom scheduling, off- site meetings and events, and one-on-one meetings. Assist with food orders, meeting needs, agenda support and note taking. Proactively manage calendar requests and conflictsMeeting and interview preparation.Provide agendas, resumes and appropriate materials in a timely manner ahead of meetings and interviews.Apply discipline and rigor around meetings by ensuring agendas and clarifying context and purpose with senior leaders you support as well as participants.Work with recruiting team to provide mutually convenient times for candidates and interviewers. Ensure candidates are settled in and supported during the interview process.Handle all travel (flight, hotel, car) arrangements (domestic and international)Expense management duties, which includes submitting expense reports and receipts in a timely mannerProvide onboarding support for new hires. Includes space, equipment requests, onboarding meeting scheduling, preparing cube space and being admin point of contact for new hireSubmit and manage all help desk support requests for Sr. Directors as neededProvide onboarding support for new vendors and agencies, ensuring they have the right access and documents/enablement required to get them up and runningProject work as needed to support each teams' goalsQualifications
To be successful in this role you have:5+ years of administrative assistant experienceProactive, one step ahead work ethic, attitude and approachMulti-taking is not an issue for you, your able to juggle multiple calendars, teams and requests. And be flexible in response to changing priorities and needsAbility to drive schedules and agendas with deeper understanding of contextStrong teamwork and interpersonal skills, with a desire to offer suggestions and improvementsSuperior communication skills with the ability to work across all levels, internally and with agenciesHigh level of confidentiality, discernment and judgmentDesire to grow and take on your own projects and work under pressure while consistently meeting deadlinesYou are a technical wizard with Word, Outlook, PowerPoint, Zoom, Concur, BOX andJV20
For positions in California (outside of the Bay Area), we offer a base pay of $80,690 - $120,810, plus equity (when applicable), variable/incentive compensation and benefits. Sales positions generally offer a competitive On Target Earnings (OTE) incentive compensation structure. Please note that the base pay shown is a guideline, and individual total compensation will vary based on factors such as qualifications, skill level, competencies and work location. We also offer health plans, including flexible spending accounts, a 401(k) Plan with company match, ESPP, matching donations, a flexible time away plan and family leave programs (subject to eligibility requirements). Compensation is based on the geographic location in which the role is located, and is subject to change based on work location. For individuals who will be working in the Bay Area, there is a pay enhancement for positions located in that geographical area; please contact your recruiter for additional information.
