Description:
The Executive Assistant will serve as a central resource for Sr. Technology Directors within for Global Finance Technology (GFT) and assist the GFT Program Management Office with the coordination of small projects. This person must be able to adapt quickly and work with a sense of urgency. Ability to properly organize and prioritize responsibilities is a must.
Provide confidential executive-level support to Sr. Leaders including: managing extensive calendars and preparing complex correspondence with minimal oversight; scheduling prioritizing and joining meetings when needed as a representative.
Ensure leaders are prepared for and/or have necessary materials ahead of significant meetings.
Work independently to support ongoing and ad hoc meetings. This includes preparation of materials, researching projects/processes, managing procedural documents / other systems of record, and other project support as needed.
Make travel arrangements for leadership on a monthly/bi-monthly basis; process travel/business expenses
Raise purchase requests for any hard/software; process invoices and resolve any financial processing issues.
Handle building access for team members and assist with office floor management duties
Coordinate team events such as team lunches, offsites, team building activities, etc
Regularly interact with senior leadership and bank executives
Open to varying ad hoc projects/requests
Executive Assistant
Bachelors degree and/or its equivalent related experience required.
Minimum of two years of relevant experience required within a corporate environment.
Ability to juggle multiple, competing priorities in a fast paced, complex environment with limited direction and with superior attention to detail.
Superior professional interpersonal relationship building and management skills, with demonstrated ability to work both within a team and independently.
Demonstrated proficiency in working with the Microsoft Office Suite.
Prior executive assistant / calendar management experience
Degree in communications, business management, or related field
Project management / coordination experience highly preferred
Experience working in the information technology or financial services industries
