Position Summary
The Executive Assistant provides executive-level administrative and reception support to the three Associate Vice Provosts (AVPULs) within UO Libraries. The individual in this position uses independent judgment and decision-making skills to support the work of the AVPULs. They are responsible for managing the AVPULs’ calendars, arranging their travel, assisting with communication and information flow (including sensitive and confidential material), and coordinating projects, programs, and events critical to the mission and work of the Libraries.
The Executive Assistant must exhibit professionalism, collegiality in a team environment, and the ability to create a welcoming and professional atmosphere in the office. This person must be culturally competent, with the ability and commitment to work with individuals from diverse backgrounds. This position regularly interacts with the Libraries faculty, staff, and key university partners. They must exhibit a high level of sensitivity, confidentiality, cultural awareness, and have the ability to work independently, anticipate problems, demonstrate sound judgment, and exercise creative problem-solving.
Minimum Requirements
• Three years of clerical/secretarial experience which included:
• One year at a full performance level performing typing, word processing, or other generating of documents; and
• Lead work responsibility or coordination of office procedures.
Courses or training in Office Occupations or Office Technology may be substituted for up to one year of the clerical/secretarial experience.
No substitution will be made for the one year at the full performance level.

• Strong organizational skills and high attention to detail.
• Excellent communication skills, and ability to produce professional correspondence, documents, and reports.
• Ability to work effectively in a diverse team environment and create effective relationships for problem-solving and positive interactions.
Preferred Qualifications
• Proficiency with MS Office Suite, including Excel, Word, Outlook, and PowerPoint.
• Prior experience in an executive support role.
• Experience providing travel support in a public/non-profit environment.
