The Network & Acquirer Solutions (NAS) organization drives the development of new payment services and products for the American Express Global Network Issuers, Acquirers and Merchants and is responsible for the operation of the payment network, safely and securely processing more than $1.7 trillion in transaction volume globally each year.
The Network Product Development and Management Team is a critical part of the NAS organization, and is accountable for leading the strategy, design, development, and ongoing management of Network products, services, and capabilities. We are modernizing our payment capabilities to become a multi rail, omni channel payments ecosystem while delivering value to our merchants & partners simply, securely, and seamlessly.
How will you make an impact in this role?
This position is responsible for administrative support for the Vice President of Network Product Development & Management and is integral to enabling multiple highly dynamic teams within a high paced environment. The day-to-day responsibilities require seamless collaboration across a wide range of business partners both inside and outside of American Express. The optimal candidate needs to be extremely proactive in anticipating and adapting to the shifting needs of organization leaders. They also must be experienced in handling a wide range of administrative related tasks and be able to work independently and confidently under pressure. Building strong relationships, being resourceful and knowing how to fluidly navigate all levels within and across large organizations will also be critical to success.
Key responsibilities include:
Organizing and proactively maintaining calendars, including scheduling meetings across multiple time-zones, using a high level of tact and integrity
Assisting the VP with appropriate email delegation, booking meetings, and reacting and corresponding on behalf, prioritizing what is important and urgent and acknowledging receipt/replies
Coordinating conferences and staff meetings, including room booking, catering, security etc.
Organizing external business meetings, making all necessary arrangements including sending invites, reserving rooms and Webex setup
Coordinating travel arrangements and logistics (hotel, visa, rental car, and other travel-related needs)
Processing monthly expense reports and reviewing expense reports for approval
Assisting with on and off boarding and new employee logistics
Tracking timekeeping for team
Working closely with other administrative assistants on office operations and providing back-up support when needed
Maintaining headcount reporting, organizational charts, and department distribution lists
Managing the procurement of office supplies and other departmental needs
Qualifications:
5 years previous experience as an Executive Assistant required
Excellent calendar management skills across time zones
Ability to quickly adapt and be flexible in a dynamic workplace
High level of integrity required for handling sensitive and confidential information
Strong interpersonal, relationship and networking skills to build and maintain effective professional relationships across all areas of the organization
Highly organized with an ability to demonstrate keen attention to detail, adaptability, flexibility, resourcefulness and efficiency
Demonstrated ability to take the initiative to spot problems before they arise, find solutions, and provide timely follow-through on projects
Demonstrated ability to work with a sense of urgency and under pressure, as needed to handle multiple tasks and prioritize effectively
Strong proficiency with MS Office, including Word, Excel, PowerPoint and Outlook required
Experience with Ariba, Concur, Dayforce and other AMEX systems preferred
Commitment to ongoing learning and development
Qualifications
Salary Range: $24.05 to $48.10 hourly bonus benefits
