Position Summary
Working as part of the Events Management team, you will plan and execute internal and external client facing events both on-site and off-site for the purpose of business development and Firm-wide initiatives. This includes events throughout the Americas, as well as potential travel around the globe. You will work with and support the Americas Events team and the Global Events Team on the development and implementation of an overall best practice approach to event management on behalf of the Firm.
Duties and Accountabilities 1
Work with stakeholders and other internal departments to develop, implement and measure a best practice approach Plan and execute a diverse portfolio of both in-person and virtual events inclusive of, but not limited to, the following: Client facing events Networking and social events Thought leadership seminars Internal engagement events Internal training and recruitment programs Retreats Global and regional webinars Assist and/or lead the implementation of logistics to achieve event objectives by establishing goals, responsibilities and budgets in advance and setting up formal pre- and post-event analysis, including final attendance numbers, budget summaries and client and attorney feedback Work alongside the marketing team and other internal departments to ensure stakeholders are kept up to date with event progress; ensure that event budgets are vigorously adhered to and tracked, and goals and objectives are met for each event Ensure that client contact information is properly stored in our system, InterAction, where appropriate Work with the Procurement team and partners to ensure that all vendors/suppliers and contracts are managed appropriately and the Firm receives the best possible level of service at all times Responsible for researching, sourcing, negotiating and contracting venues and suppliers Work with relevant internal departments, including Concierge, Creative Services and Marketing/Business Development to ensure that the use of in-house resources are treated as a "preferred supplier" wherever possible Manage and assist with the production of events materials where applicable Good understanding of virtual events including technology and systems; ability to recommend best practice for virtual and give strong guidance for virtual events Assist with building registrations sites and mobile applications using the Firm's preferred platform, Cvent Act as an ambassador of the Firm and its core values at all times
Qualifications
Bachelor's Degree 3+ years' events planning experience within a legal or professional services firm Prepared to work outside the parameters of a 9:30am - 5:30pm working day as required, including early mornings, evenings, and occasional weekends The position may require travel; domestically and internationally as necessary Strong knowledge of local vendors and venues Committed team player with a "can do" attitude who demonstrates resourcefulness, initiative, and collaboration; ability to work effectively in cross-functional and global teams Ability to build strong relationships with internal and external stakeholders Client service oriented and credible Ability to work independently and in a team dynamic and be able to meet deadlines and perform well under pressure Strong project management skills: ability to handle multiple priorities and on an annual basis in a fast-paced environment Excellent communications skills Strong organizational, analytical, interpersonal skills required Knowledge of CRM and virtual event platforms required; proficiency in the Cvent platform strongly preferred
Location and Reporting
This role is a hybrid in-office/remote role based in our New York office. This role reports to the Client Communications & Events Manager and Global Director of Events.
