Description
The EBI Specialist within Global Ethics & Business Specialty Care will oversee and ensure flawless execution for the end-to-end processes related to reviewing Foreign Corrupt Practices Act/Due Diligence escalated flags, review of Conflict-of-Interest forms and the facilitation of required State certification. The EBI Specialist will also assist with Training assignments and Communications, including intranet site updates and management of policy updates. The EBI Specialist must have a strong understanding of Company designated systems supporting these requests (e.g., Coupa, SHIFT/GTS Screening, Certification Tool) as well as the policies and procedures related to these areas. The Specialist will partner cross-functionally to ensure alignment as needed. Further, the role will work across a wide range of organizational stakeholders including - Legal, Procurement, and Finance teams. This position requires a motivated individual who can work independently with minimal supervision and effectively in a dynamic environment utilizing creative problem-solving skills. This individual will perform daily tasks that require decision making and the consistent exercise of independent judgment and discretion. Strong project management skills and close attention to detail will be required to drive the successful execution. This position is based in Cambridge, MA.
The primary EBI Specialist responsibilities include the following:
Key Due Diligence process Administrator for NA EBIManage P2P process for department purchase orders, tracking approvals, ensures proper approvals and invoices are trackedAssists with management of Policy updates and Intranet updatesCreates dashboard and graphical presentation of EBI Key Performance IndicatorsReceives COI requests for spontaneous, new employee and acquisitions, assesses and manages review with the appropriate Compliance Officer as neededAssists with Certification Tool administrationAssists with training assignments and training materials as neededManage the COI inbox, answering emails and routing inquires to the appropriate Compliance Officer/recipientAssists in EBI various projects, as assignedAd hoc project support as needed by Steam membersAssists as needed in managing P2P process for department vendors, contracting process and invoicingAssists with management of policy and Standard Operating Procedure updates, as neededCreates dashboards and graphical presentations as needed (e.g., EBI Key Performance Indicators)Manage multiple priorities in a fast-paced and demanding environment
In addition, this position has administrative responsibilities that include:
Creating master PowerPoint presentations, managing calendar invites and meeting minutesUpdating department intranet sitesProvide general administrative support to the EBI departmentRecommend improvements on administrative procedures and implements changesCoordinate meetings/reserves conference rooms, makes travel arrangements, and organizes events, etc.Prioritize conflicting needs; handle matters expeditiously, proactively, and follows-through on successful completion of department tasks, often with deadline pressuresPrioritize and execute tasks with minimal direction or supervisionMaintain an elevated level of confidentiality and professionalism at all timesInterface with staff and senior level executives, external partners and consultants and keep the Department Head updated on key informationModel all Play to Win behaviors and contribute to a positive and inclusive cultureTakes initiative and independently manages special/administrative projectsRespond in a timely manner to various inquiries for informationMeets regularly with key Leadership Team members and other administrative team members to align on priorities and ensure clarity on roles and responsibilities for task execution
Skills:
Strong Project management skills
Proficiency in using computer technology including the Microsoft Office Suite (Outlook, Excel, PowerPoint, Word, and others)
Knowledge of various systems
Training experience
Qualifications:
• Experience supporting senior-level business leaders in a pharma or biotech environment
• Familiarity with pharma industry and Business organization in particular
• Excellent verbal and written communication skills
