Position Summary
Working as part of the Events Management team, you will plan and execute internal and external client-facing events both in person and virtually for the purpose of business development and Firm-wide initiatives. This includes events in London, as well as EMEA and rest of the world.
The successful candidate will work with and support the London Events Team as well as the global events team, lawyers and internal teams with the development and implementation of an overall best practice approach to event management on behalf of the Firm.
This is a contract position within the firm's global events team. You will have excellent event management skills, client relationship management skills and a focus on delivering exceptional client service.
Duties and Accountabilities
Plan and execute a diverse portfolio of both in-person and virtual events, inclusive of, but not limited to, the following: Client facing events Networking and social events Thought leadership seminars Internal engagement events Internal training and recruitment programs Retreats Global and regional webinars Manage the production of in-person and virtual events including: Research, presentations and site visits Contract negotiations and vendor relationship management Client-facing and lawyer-facing event communication (e.g. invitations, social media etc) Budgets Collateral On-site event management including overall logistics and time management Speaker management Hotel room block management Travel management for large regional and global conferences, post-event follow-up and ROI tracking Good understanding of virtual events including technology and systems. Ability to recommend best practice for virtual and give strong guidance for virtual events. Assist and/or lead the implementation of logistics to achieve event objectives by establishing goals, responsibilities and budgets in advance and setting up formal pre- and post-event analysis, including final attendance numbers, budget summaries and client and attorney feedback. Work alongside the marketing team and other internal departments to ensure stakeholders are kept up to date with event progress; ensure that event budgets are vigorously adhered to and tracked, and goals and objectives are met for each event. Assist with pre-event administrative duties, including invitation mailing, coordinating RSVP lists, name badges and material distribution. Work with relevant internal departments, including Creative Services and Marketing/Business Development to ensure that the use of in-house resources are treated as a "preferred supplier" wherever possible. Ensuring client contact information and invitee lists for events are stored responsibly through the use of the relevant database, InterAction, when appropriate. Managing all administrative aspects of the Firm's memberships with London's top venues including Lord's Cricket Ground and Wembley Stadium. Coordinate all billing with Accounting inclusive of corporate credit card management, check and wire transfer requests. Track event finances, invoicing and quarterly reporting for the department. Work with the Procurement team and partners to ensure that all vendors/suppliers and contracts are managed appropriately and the Firm receives the best possible level of service at all times. Coordinate and schedule new incoming events on the department calendar. Assist with building registrations sites and mobile applications using the Firm's preferred platform, Cvent Act as an ambassador of the Firm and its core values at all times
Duties and Accountabilities
Bachelor's Degree, JD qualifications and 2+ years in a legal services firm preferred. Prepared to work outside the parameters of a 9:30 - 6:00pm working day as required, including early mornings, evenings and occasional weekends. Strong knowledge of local vendors and venues. Proven ability to quickly develop relationships with internal and external clients. Excellent oral and written communication and strong competency in Excel and PowerPoint as well as the ability to learn new systems quickly. Client service oriented and credible. Ability to manage diverse stakeholders and build networks quickly. Strong Project Management skills: ability to handle multiple priorities and plan projects on an annual basis (in a fast paced environment). Strong analytical and data-analysis skills. Committed team player: ability to work effectively in cross-functional and global teams. Willing to travel across the network and globe. International experience a plus. Proficient in the Cvent platform and InterAction CRM tool.
Location and Reporting
This role is based in London. Our standard office hours are 09:30-18:00, with a current requirement for 3 days in the office per week (please note this role will involve evening, weekend hours and additional days in the office based on Event support required) This role reports to the Americas Events Manager (with support of the Senior Events Manager and Global Events Director).
