Job Description/Requirements
Salary: Expected base pay rate for this role will be $20.00-$25.00 USD per hour at the commencement of employment.
However, if hired, base pay will be determined on an individualized basis (pay rates may vary) and is only one part of the total compensation package, which, depending on the position, may also include discretionary bonuses and other IMAX sponsored benefit programs.
About the Role
The Coordinator, Documentaries will report directly to the department head and assist in the management of the IMAX Documentaries department and its current slate. You will support multiple projects across different developmental stages and alleviate the administrative work for the Head of Documentaries. In this position, you will be responsible for managing calendars and liaising with filmmakers, producers, directors and the studio network. For this role, you must be able to problem solve, multi-task and represent the department with a professional and organized demeanor. Previous administrative experience in supporting an executive is an asset.
What You'll Do Support the Head of Documentaries and perform administrative tasks for the department Answer phone calls, organize calendars, take notes, track email chains, arrange lunch meetings or screenings, and coordinate travel arrangements Manage key internal and external relations, maintain updated contact information, and respond to partners in a professional and timely manner Lead as the key documentary department point of contact and support networking events such as premieres and conventions Aid the inner IMAX network (i.e., the marketing, publicity, tech, and distribution teams) to project completion Track and adjust internal workflow to connect departments and ensure project delivery is on schedule Create presentations and decks for internal and external partners Assist in budgeting for the documentary department, track departmental expenses and submit invoices Initiate new projects and ideas for the benefit of the department, and stay up to date on industry news Organize all departmental resources and files in a way that can be easily accessed or distributed What You'll Need Post-secondary degree/diploma or equivalent in Film Production/Business Administration Previous experience in a Coordinator or Assistant role supporting an Executive Proficient in all MS office applications, Keynote, PowerPoint Ability to speak multiple languages would be an asset Must be available to work overtime or outside of typical 9-5 as required Nice to Have Project management skills; excellent organizational skills with the ability to prioritize Time management skills with the ability to handle multiple demands and competing priorities, and promptly respond to requests Team player with excellent communication skills; able to interact professionally with members of the organization as well as our external clients Interest or background in documentary and non-fiction media Our Commitment To You
