Job Overview
The Document Control Clerk primarily manages and oversees documents for the Quality Department. This position ensures that documents are created in the approved company format and contain the appropriate signatures as required by company policies. In addition, this position ensures that all documents are stored and backed up and that retention policies are followed.
DUTIES AND RESPONSIBILITIES:
Organize and Archive Documents
Scan and copy documentsOrganize documents and ensure documents are physically and electronically filed and retained per company procedures and requirementsAdhere to a retention schedule, that includes the proper ways and times to destroy old documents.
Fulfill Document Retrieval Requests
Quickly and efficiently retrieve documents and data using company procedures when formally requested by employees. This process entails:Receiving requestsLogging requests using the Microsoft Excel databaseProviding the requested materials
Maintain Documents
Allocate and control the document numbering system for all quality documents and records.Ensures that all electronic and hard copy filing is accurate and easily retrievable.Maintain the Master Document Control Log and other logs as necessary to ensure that the Document Management System is maintained per approved company procedures and support easy retrieval of documentsFile all Quality Control, Audit, Corrective Action, and other quality reports received as prescribed in company proceduresFollow up on the receipt of all quality documents for review and/or action by other departments e.g. Corrective Action Reports, Documents for review, etc.Manage Document Reviews including the receipt and incorporation of comments and resend for review.Distribution of documents per the document distribution MatrixManage the Lessons Learned Process
