About Director, Health Information Managment

  Purpose:

  Directs and coordinates activities for the Central Health Information Management (HIM) Department – Hospital Division (24+ hospitals). Assists their leader to ensure the availability, accuracy, integrity, and security of all data related to patient healthcare encounters. Responsible for managing daily operations, staff resources/issues, interacting with administration, various departments, and regulatory agencies. Provides direction, guidance, and leadership to staff. Works closely with their leader in the HIM department on relevant committees and special projects.

  Responsibilities:

  Ensure maintenance of operational efficiency for all areas of responsibility to promote compliance with standards of The Joint Commission, regulations of the Pennsylvania Department of Health, CMS and other regulatory agencies.

  Supervise the activities of the departmental associate directors, managers, coordinators and is responsible for 100+ employees.

  Foster communication with staff by organizing and conducting management, team, and department meetings.

  Interview applicants, recommends and select candidates for positions. enforce policies regarding corrective action as appropriate.

  Prepare comprehensive employee performance reviews for staff which include assessments of the staff conformance with the key components of the organization's performance management program. All evaluations are completed and delivered to staff within required time frames.

  Investigate matters of concern due to operational effectiveness and external complaints, and reports findings to the Senior Director HIM and other hospital leaders as appropriate

  Maintain professional skills and refines expertise through appropriate education/developmental activities and professional associations.

  Coordinate the provision of information, reports, action plans, and other responses to internal and external requestors on various types of department information.

  Respond to staff and staffing issues/ needs relative to vacancies, complaints, scheduling, recruitment, and position justifications as appropriate. Staffing analyses are regularly conducted to ensure that operations are supported by appropriate staff.

  Participate in all required activities pertinent to the development of the department capital and operating budgets.

  Meet monthly with Financial Analyst staff to review cost center budget and expense reports, identifying and following up on variances and areas of concern as needed. Verify accuracy of and approves invoices, purchase requisitions, disbursement requests and expenses for areas of responsibility. Work closely with Supply Chain Management to develop RFI and RFPs as needed when new vendors and services are being evaluated and selected. Develop cost/benefit analyses as required as part of evaluation of alternatives.

  Actively participate, in conjunction with the Information Services Department and the HIM Medical Director, with the implementation of the Electronic Health Record Project.

  Recommend system design for the electronic health record to assist in meeting organization and HIM department goals.

  Assess options and recommend alternatives to reduce volume of paper documents requiring scanning.

  Attend meetings as necessary to represent the HIM Department.

  Compile and report information regarding the status of projects and HIM management team on goals.

  Assist in developing HIM department Quality Review plans; conduct on-going quality assurance audits in each functional area and reviews findings with the management team, developing plans of action to correct any deficiencies noted in the audits.

  Coordinate and carry out special projects in relation to corporate or department activities and needs.

  Coordinate relevant activities between the Record Processing areas and ancillary departments, including Tumor Registry, Patient Business Services, Admitting, Information Services, and Supply Chain.

  Ensure that department management staff are identifying staff performance issues, following hospital policies, communicating issues to the Human Resources assigned consultant, Coaching and counseling and other recommended actions to correct performance deficiencies.

  Develop job descriptions for each HIM position; ensure that all managers have appropriate staff orientation programs and training schedules. Performance standards for productivity and quality are evaluated for accuracy and implemented.

  Develop departmental goal in line with organizational objectives.

  Work closely with Senior Director, HIM, to develop overall department goals and strategies for achieving.

  Coordinates all aspects of Project Management; effectively manages all assigned projects bringing them to completion within prescribed timelines and meeting all of the project's objectives.

  Verify accuracy of and approves invoices, purchase requisitions, disbursement requests and expenses for areas of responsibility.

  Assists with Coordination of the System Forms Approval process for hospital medical record forms; this includes overseeing the actions of a System Forms Committee comprised of representatives from all System facilities, obtaining input and feedback for all new and revised forms, communicating the status of each request and coordinating with appropriate staff the placement of approved forms on

  Print on Demand or to the Print Shop. Participate in the evaluation, selection and implementation of any HIM applications and other relevant HIM system projects.

  Assist with all tasks related to the System HIM Committee which includes collaborating with the Sr. Director and Committee Chairs on meeting agendas, recommending topics and guest presenters, preparing meeting materials, attending the bi-monthly meetings and following up on action items as appropriate.

  Assist with administrative responsibilities as assigned.

  Actively participate, in conjunction with the Information Services Department and their leader with the implementation of the Electronic Health Record Project.

  Prepare comprehensive employee performance reviews for staff which include assessments of the staff conformance with the key components of the organizations performance management program. All evaluations are completed and delivered to staff within required timeframes.

  Assist with administrative responsibilities as assigned.

  Performs in accordance with system-wide competencies/behaviors.

  Performs other duties as assigned.

  Qualifications:

  Graduate of an accredited Health Information Management program with current certification as an RHIA or equivalent education in a related area required.

  Master degree in Health Information Systems or related master's degree program preferred.

  Minimum of 7-10 years' experience as a director, assistant or associate director in an HIM department, or similar experience managing health care departmental operations for a large academic multi facility medical center.

  Excellent oral and written communication skills.

  Must demonstrate ability to work independently, effectively analyze, problem solve, make decisions and implement solutions.

  Must be ambitious and self- motivated with ability to work under pressure handling multiple tasks/projects simultaneously. Licensure, Certifications, and Clearances:
