The Early Intervention program consists of services and supports designed to help families with children birth to age 3 who have developmental delays.
The Department Secretary performs secretarial duties, recordkeeping functions, administrative detail and follow-up functions to assist the appropriate administrative/manager in the daily routine and in meeting the administrative needs of the department.
Communicates with families regarding referrals for the program, including providing families with basic information about the program, and verifies demographic information.
Prepares intake packets and mailings for program participants including meeting invitations and other correspondence.
Orders and maintains inventory of Early Intervention program materials.
Establishes positive relationships and interfaces with other St. Luke’s program and referral sources in order to assist with documentation compliance and billing issues.
Manages billing procedures on a weekly and monthly basis. Demonstrates good understanding of billing procedures and is able to problem solve issues around this process.
Adheres to timelines according to the program regulations. Maintains active and archived files.
Understands and operates computer programs involved in Early Intervention. Registers, updates and closes cases within these programs.
Provides weekly and monthly reports to the Program Manager about productivity.
Assists with planning for meetings, as well as department and program events.

High School Diploma or equivalentHOURS: Full-Time, Monday-Friday
TRAINING AND EXPERIENCE:
Previous Secretarial experience required. Computer skills, including Word, Outlook, Excel and Power Point required. Proficiency in telephone skills and excellent customer service skills. Proficient in the use of office technology.
PHYSICAL AND SENSORY REQUIREMENTS:
Must be capable of sitting for up to 4 hours at a time. Bending and reaching as it relates to filing for up to one hour at a time. Must have fine motor skills as it relates to the operation of a computer or other office equipment. Hearing as it relates to normal telephone conversation and possible transcription. Vision as it relates to proofreading typed material and general vision and peripheral vision. Frequently uses hands for typing, filing and running equipment.
