This position works directly with the Director of the Dance Program, the Director of Undergraduate Studies, the Barker Center Technical Director, and the Administrative Manager for the Department of Theatre Arts & Dance. This position coordinates office activities and operations providing administrative, programmatic, financial, and human resources support for the dance program. Job Duties Financial, Budgeting, Human Resources (60%) Process reimbursements and reconcile purchases Enter travel documents, requisitions, storehouse orders Supplier/vendor setup and maintenance Maintain and update administrative forms Create contracts and agreements Run adhoc budget reports Assist Technical Director in budget maintenance for Rarig Center Rentals Assist Director of Dance in budget creation and maintenance, ensuring accounts are in good order Explain financial forms, processes, and policies to faculty and staff Track Procurement Cards and Travel Cards for Program faculty and staff, assist in obtaining cards (trainings and forms), provide training to new and current faculty and staff on policies and procedures Assist Administrative Manager in budgeting, human resources, and reporting. Create annual NASD HEADS reporting requirements for accreditation Assist in searches (meeting notes, scheduling of interviews, campus visits, travel arrangements) Onboarding/Offboarding faculty and staff Other duties as assigned Office Manager and Program Event Coordinator (20%) Serve as the first point of contact for Barker Center program, answering phone, email, and in-person inquiries from instructors, students and visitors. Provide tours of the facility for visitors. Provide general office support, including ordering supplies, maintaining parking vouchers, distributing mail, providing computer technical assistance, managing the upkeep of department copier, and assisting with web access for faculty and staff Work with Facilities Management in coordination with Barker Technical Coordinator. Ensure public space is clean and orderly. Maintain storage areas. Serve as backup for Technical Coordinator as needed Support Dance Production Technician in custodial care, maintenance, repairs, capital projects, asset inventory, and building security Work closely with Director of Dance in maintaining calendar and facilitating communication within Dance Program Maintain inventory of technology equipment/computers; order computers for faculty and staff Update Theatre Arts and Dance "People Pages" on department website, maintain faculty and staff contact and email lists, coordinate calendar for events and enter department events in the University calendar. Create and distribute informational materials related to events, policies and procedures, deadlines and other departmental information and communication. Create and distribute e-newsletter Participate in staff and program meetings and work collaboratively with administrative leadership team, record meeting minutes Coordinate local arrangements for faculty searches and visitors including hotel, schedules, airfares and meals, meetings Coordinate department events including retirement parties, spring awards ceremony, colloquium, and other events, including schedule, place, refreshments, audio/video needs, and publicity. Assist in student recruitment effo ts Other duties as assigned Dance Program Academic Programming and Course Scheduling (20%) Work with the Director of Undergraduate Studies on programming, course scheduling, and facilitating the curricular proposal processes (course proposals, LE requirement proposals) Respond to registration questions and concerns from students, issue permission numbers for student registration Assist with auditions by preparing materials, confirming schedules, and attending auditions Serve as first point of contact for program instructors Schedule courses using University systems, manage course enrollments and cancellations, collect and organize course-related documents, Oversee completion of end-of-semester Student Rating of Teaching forms Assist instructors with textbook orders, generating class lists, maintaining wait lists, updating course descriptions, entering grades Other duties as assigned Qualifications Required Qualifications Bachelor's level degree or a combination of relevant education and experience to equal four years. Professional experience in accounts receivable and payable, budget creation, maintenance, and reporting Professional human resources experience Professional experience working in higher education Professional experience using MS Office Suite (Word, Excel, PowerPoint) Must be able to work nights and weekends as event calendar necessitates. Must have valid Class C Driver's License Preferred Qualifications Strong verbal, written, and interpersonal communication skills Demonstrated experience communicating with and providing service to faculty, employee groups, students, and visitors from diverse backgrounds Experience coordinating several projects simultaneously Experience multitasking and prioritizing workload while maintaining attention to detail. Effective organizational, time management, and problem solving skills Ability to draft correspondence, memoranda, newsletters, manuals etc. Experience with administrative software: UMReports, PeopleSoft, course scheduling, space scheduling or similar Demonstrated initiative and willingness to provide outstanding service.
