Job Description
Role purpose
Ensures administrative and organizational support to the Country Organization as well as providing administrative assistance to the Country Head. The Country Coordinator will be assisting in various aspects of projects by working cross-functionally, reporting to the Country Head.
Accountabilities
Daily organizational and administrative tasks, providing general administrative support to the Country Organization.
Coordination, organization and independent planning of internal and external meetings, tasks and projects within deadlines.
Support to the Country Organization in preparation of documentation related to promotional and medical activities conduced in the country.
Prepares service/project contracts and is responsible for the end-to-end procurement process ensuring successful completion of all steps, including acting as local super user for vendor onboarding and monitoring process in co-operation with procurement lead and contacts from Takeda Business Services department (TBS).
Provides support in coordination and consolidation of expense reporting.
Handling of all purchase orders, invoices, and contract management.
Provides support in local accounting activities in ARIBA including vendor master data management (MDM) and communication with accounting team (TBS).
Maintains efficient relationships with internal stakeholders.
Supports other projects as required by the Country Organization or the cross functional team (Commercial, Market Access, Medical, Regulatory, and Finance).
Serves as executive assistant for Baltic Leadership Team.
Ensures smooth office management in country.
Act as an ambassador of Takeda’s Country Organization vision and Takeda Values to achieve patient focus and patient centricity.
Key user of internal platforms, tools and processes to ensure compliance with Takeda’s approval processes.
Area of responsibility
Ensuring the timely, dedicated and correct performance of the abovementioned duties.
Ensuring the practicability and efficiency of activities in the designated function in accordance with the established objectives and plans.
Ensuring compliance with the internal rules of Takeda and the laws and codes governing the pharmaceutical industry within their area of responsibility.
