Primary Purpose:The primary purpose of this position is to provide general office administrative support to thecounseling assistant and registrar positions, as determined by the principal. This positionperforms a variety of clerical duties associated with academic planning, career guidance, andstudent registration at the high school level.Essential Functions:1. Enter student requests into master schedule software.2. Request records for transfer-in students from sending school; process records forwithdrawal and transmittal to requesting schools for transfer-out students.3. Process and distribute reports of academic progress, course grades, and report cards.4. Process information related to students enrolled in college credit program (RunningStart); receive grades from colleges; process Running Start forms for students eachquarter; review monthly list from colleges for accuracy.5. Create and maintain hardcopy files of student information; coordinate transfer ofstudent files from middle school, create files for students newly enrolled in the RentonSchool District; file relevant documents in student files throughout the year.6. Provide secretarial support including production of correspondence, forms, reports, andother documents as requested by counseling staff or building administrators. Greet andassist visitors to office. Answer telephone calls and respond to inquiries and requests forinformation or route call as appropriate.7. Input data and perform a variety of clerical work to fulfill duties as required.8. Assemble cumulative, health, and other student folders.9. Consolidate and maintain student files; record any outstanding fines; forward records torequesting school; maintain withdrawal records log. File test results and summaryreports, report cards, transcripts, special education records and other documents.10. Maintain transcript transmittal record.11. Process Intra-District and Inter-District transfer requests from students. Maintainrecords of approved/denied requests.12. Prepare and distribute Student Emergency Update Form and enter info into studentdatabase. Follow-up with students/families for incorrect or missing phone numbers andaddresses.13. Maintain regular attendance.14. Establish and maintain effective working relationships with colleagues, students,parents and community members.15. Comply with all Board policies.Minimum Qualifications:1. High school diploma or equivalent.2. Demonstrated effective oral and written communication in the English language,including correct grammar and spelling usage.3. Demonstrated proficiency in the Microsoft Office suite.4. Two years of increasingly responsible secretarial experience. Advanced technicaltraining in secretarial procedures may substitute on a month-for-month basis for up toone year of required experience.5. Background check through Washington State Patrol, as required by RCW 43.43.830.Fees apply.
