Job Description
Including, but not limited to the following: coaches the client by providing information and suggestions pertaining to conferences and social events. Distributes event information to all operational departments through Banquet Event Orders. Acts as a liaison between the clients and the conference center in order to meet the client?s needs and expectations.
Job Responsibilities
Receives definite contracts for upcoming conference from Sales Department and thoroughly reviews files.
Receives signed contracts for social events from sales department and tracks process through planning and implementation. Handles advanced payment schedules to assure all monies are received at the appropriate date.
Contacts client to discuss all logistical details of conference and social events.
Provides client with all necessary information and details regarding their visit to the facility (Meeting Planning Guide, Catering Menus, brochures, rooming shell list etc.)
Assist client with any special need/request by making arrangements with outside vendors (flowers, decorations, off-site dinners, over-flow guestrooms, transportation etc.)
Work with Food and Beverage Manager to provide unique menu options as needed.
Coach client through the different planning phases to obtain necessary information in a timely manner.
Facilitates food tastings as needed for social events.
Relays all conference details to necessary departments: rooming list, resume, BEO?s, diagrams, special needs/requests, etc.)
Creates a Banquet Event Order for the client including all necessary information.
Discusses BEO?s in the weekly BEO meeting.
Remains available and approachable throughout all planning phases to handle all questions, additions, and/or changes from the client.
Meets with the on-site contact at the onset of the event and checks in everyday with the general session if it is a conference. If it is a social event, meet with the on sight contact on day of event to oversee functions to ensure customer satisfaction.
For all social events, turns over to Food & Beverage once the event starts and all details confirmed.
Sets up post conference meeting and social events, if necessary, with client to discuss both the positive and negative aspects of the event.
Audits charges posted to the Master Bill for all of their clients.
Qualifications
Requires previous hospitality and/or customer service experience.
Must possess strong communication, organizational, and interpersonal skills to effectively deal with clients.
Computer skills necessary including experience in Microsoft Office packages and DELPHI or a similar conference planning software package.
Must have strong time management skills and be able to perform various tasks simultaneously. Able to handle about 7 meetings a week.
Background in Food & beverage is helpful.
PHYSICAL DEMANDS
Flexibility in work schedules to include long days and weekends.
Requires occasional bending, reaching, standing, walking, sitting, grasping, and repetitive motions. Willing to help move tables, chairs and refreshing rooms when needed.
