The Opportunity:
We are seeking a highly motivated, multitasking-oriented, and computer-proficient individual to join our team! As the Compliance Support Administrator, you will play a pivotal role in ensuring the smooth operation of our Insurance Compliance Team. This diverse role involves providing comprehensive administrative support to a dynamic team, including email and document management, generating impactful audit and trending reports in Excel, data entry, crafting compelling PowerPoint presentations, and engaging in a variety of project work.
A day in the life:
Email Management: Assume management of a busy team mailbox to ensure priority emails are dealt with and documented efficiently.
Broker Suitability: Review regulatory enforcement sites to identify information concerning the activities of brokers contracted with HUB. Review broker accounts and escalate areas of concern relating to poor credit, incomplete or expired compliance documents, regulatory enforcement and conduct activities. Document and escalate any actions required for compliance issues based on facts gathered from Insurance Councils, Carrier Head Offices or other information obtained by HUB.
Broker Monitoring: Report preparation and analysis pertaining to HUB broker monitoring processes and sales trending reviews for insurance and investment activities. Maintain internal reporting of information collected and issues that are escalated.
Broker Terminations: Prepare HUB Financial broker termination letters and communications to relevant parties.
Complaint Management: Coordinate and report on the progress of client complaints through to completion. Assist with collection of data, document management, communications and follow ups.
Data Analysis and Report Preparation: Collaborate with team members to identify efficiencies with the information obtained from Insurers and HUB systems to produce quality and effective reporting of sales and business conduct trends pertaining to audit and monitoring of insurance brokers.
Project Management: Assist with and coordinate project work as assigned.
Who you are:
1+ year of previous office experience
Excellent working knowledge of Microsoft Office applications (Excel, Outlook, Word, and PowerPoint)
Strong organizational skills with attention to detail
Exceptional communication abilities (Both Written and Oral)
Proficient in project management
Strong commitment to maintaining confidentiality
College diploma or equivalent preferred
Experience/background in Life Insurance is an asset
Experience with WealthServ or other industry back-office systems is an asset
Bilingual in French and English is an asset
