Position Summary:
The Client Services Project Manager (m/f/d) works with other project managers in a small pod, helping them handle a group of shared projects. The pod shares responsibility for projects and ensures tasks are completed by an appropriately leveled project manager. This position is equal parts strategic and tactical in nature. This position leads the relationship with moderately sophisticated and simple larger clients, and is responsible for shepherding tasks to completion, issue resolution within internal procedures, and acting as primary point of contact for low-complexity client accounts. The team works cross-functionally to ensure that client requirements and timelines are met. Focusing on building relationships with the client and delivering an excellent customer experience.
With assistance from internal service providers, the APM is responsible for co-coordinating all operational aspects of the company's services relating to production, storage and distribution within assigned projects.
Project Level Responsibility: Medium and low complexity projects. These include but not exclusive storage, multiple distribution sites and receipt.
Key Responsibilities:Assessment of client supplied study specifications in conjunction with Quality, Operations and Procurement to help design Supply Chain solutions to meet the needs of the projectOverall responsibility for ensuring that activities come together in a timely manner to meet the client requirementsProvision of data and technical input to business development to help in the creation of proposals.Manage client communications and works to prepare and present at client meetings as the assigned Project Manager. Attends bid defenses as necessary.Internal and external coordination and communication of all relevant project activities and scheduleWhere available, use of appropriate project planning tools e.g. Microsoft Project to supervise and communicate achievements and critical path activities and responsibilities.Timely provision of reports and other information to clients as required.Responsible for timely communication with all collaborators on order statusSet-up of study on internal systemsLiaise with Operations to ensure study logistics carried out and handled appropriatelyLeading client and internal status meetingsAssist with management of stock levels for kit materials and packaging componentsWriting and review of departmental SOP's and Project Plans and other documentation.Responsible for revenue recognition for projects assigned and verifies final information for Accounting Department prior to invoices release.Supervise and record change in the scope of contracts.Management of Client/Site Enquiries. Log calls / issues in appropriate systemsHandles non-conformance and provides reports and timely resolutionProvision of training to other members of FBS, where appropriateParticipation in cross-functional business process improvement activities as the need arisesEffective written and verbal communication skills, ability to work with all levels of management, tailoring message appropriately for recipientsTo be available for infrequent overtime work as vital.
Minimum Requirements/Qualifications:Ideally a couple of years of successful experience in project management as an Associate/Assistant Project ManagerAble to act up Project Manager role in absence as the need arisesCertification in Project Management by a recognized training institution (or working towards certification) is an advantageDetailed understanding of the clinical development process and clinical trial suppliesFluency in English and German languageExperience or knowledge in the packaging and logistics to support clinical trials within a CRO environment or equivalentUnderstanding of GXP requirements in a pharma or CRO environmentFlexible and adaptable with strong customer leadership skillsAble to analyse problems and define customer centric solutionsAble to work with resilience and support others within teamGood interpersonal, verbal, written and numerical skillsScientific degree required or other degree coupled with pharma/CRO equivalent work experience
