JOB SUMMARY

The office of the Senate Clerk is the engine room of the legislative process in the Massachusetts Senate, where talented individuals learn the intricacies of the administrative process of passing laws. The Clerical Assistant II assists the Clerk's Office in multiple areas, as required and at the direction of the Clerk of the Senate ("Clerk"), in coordination with the Clerical Assistant III. This position provides assistance at the front desk, greeting visitors and responding to general inquiries from Senators, staff, and members of the public, in person or by phone. The Clerical Assistant II reports to the Clerk and the Assistant Clerk.
JOB DUTIES AND RESPONSIBILITIES
Assist in preparing committee reports filed from Senate and Joint committees.Provide general clerical and administrative support to office staff, including assisting the front desk staff. Assist in preparing corrected Senate Journals for binding as the official record for the 2-year General Court.Assist the Clerk in updating Session Laws.Review and publish the Senate Agenda on the public website.Assist in processing reports and communications from outside entities.Distribute papers between the legislative and executive branches and other legislative offices.Transcribe any session debate remarks.Prepare and print special adjournments.Print and prepare Senate citations.Collaborate with printing services staff to fulfill printing and copying requests from Senate offices.Assist in maintaining the Supplemental Index for the Senate Journal.
Other Duties and Responsibilities May Include:
Perform other duties as assigned by the Clerk and Assistant Clerk.Respond to requests from outside executive branch agencies, commissions, and task forces, as needed.Proof Senate record of roll call votes.
Qualifications
MINIMUM QUALIFICATIONS One to two years of college or technical school, or, alternatively, at least 2 years of relevant work experience. Demonstrated experience with basic office equipment and systems including telephones, photocopiers, email, and office computer applications, such as Microsoft Office Suite and remote meeting platforms . Knowledge of the legislative process and procedure, and related terminology. Clerical, customer service, or recordkeeping experience preferred. Basic understanding of municipal, state, and federal political processes. Temperament to communicate with a variety of personalities in a tactful, positive, and professional manner. Knowledge of office computer applications and equipment. Strong organizational skills and attention to detail. Ability to produce quality work under pressure and in a fast-paced environment. Ability to maintain a flexible, in-person schedule including working extended hours, possibly on nights and weekends.
