Reporting to the Chief Operating Officer (COO) of Summit Public Schools, the Home Office Business Operations Manager (BOM) will support the leadership team of Summit Public Schools and Marshall Street Initiatives to provide a warm, welcoming, and organized in-person and virtual office environment.
As the first person that people see when they arrive, the Home Office BOM is the face of the organization and delivers first-class customer service to families, students, faculty, and other visitors. The Home Office BOM will also keep the office neat and organized, helping to ensure that daily operations of Summit Public Schools and Marshall Street run smoothly.
This includes organizing and maintaining shared spaces, scheduling, coordinating in-person and virtual events, ordering materials, communicating with a variety of stakeholders, supporting travel logistics, executing on strategic projects, and interacting with all community members and staff in a positive and professional manner.

Marshall Street Initiatives (“Marshall”) is a division of Summit Public Schools with a mission to develop programs that meet locally felt, globally evident challenges in education. While our initiatives focus on different groups—teachers, principals, parents, graduates, and K-12 students—they are united by their focus. Greet visitors at the front desk and create a warm and welcoming environment. Ensure a welcoming, orderly, responsive, and open Home Office; this includes responding to public inquiries, answering phones and emails, taking messages, checking voicemails, sending robocalls/robotexts, maintaining school apps (i.e. ParentSquare), responding to questions and concerns from families and students, and assisting faculty with inquiries. Greet and sign guests in and out, ensure they have proper identification while on site, and monitor access to the Home Office. Communicate effectively with students, families, and colleagues; draft professional staff-facing communications. Participate actively when needed in functional team meetings, all-hands meetings, and other project-focused meetings; Implement and enhance the Summit and Marshall’s systems and culture. Welcome and on-board new Summit and Marshall team members. Project and Event Support
Manage logistics and support the planning, set-up, and execution of in-person and virtual professional development, group meetings, hiring days, and organization-wide conferences Design and order swag, mail books, administer surveys, coordinate catering, copy and organize materials, etc. Serve as on-site point-person for preparing team, board, meeting, or other event logistics Take and share notes from meetings; track action items and ensure completion Manage special and ongoing projects: Support the planning and execution of org-wide culture initiatives (i.e. teacher appreciation week, Feb PD, Marshall Teacher Resident orientation) Provide project management for projects across Summit and Marshall Assist in the development of materials for presentations and convenings Create and maintain key organizational documents including system calendars, organizational charts, and other reference materials Manage travel and expenses Plan and book travel, and complete and submit expense reports on behalf of the Executive Director and other Directors on the Marshall team Home Office Management
Ensure the front desk area is welcoming, professional, clean, and organized. Manage physical and electronic mail: Receive, distribute, and prepare mail and shipments; manage the general Summit Home Office and Marshall Street e-mail inboxes. Manage the collection and maintenance of student, personnel, school, and organization information: Receive forms and paperwork, track missing forms, manage databases, update contact information, keep records current, manage contract signatures, etc. Keep important documents (MOUs, Grants, SOWs, etc) organized in Google Drive folder. Maintain Home Office collateral and supply systems, manage storage areas, and assist with inventory control. Maintain office equipment and ensure that the copier, fax and postage meter are always in working order. Manage Home Office communications with service providers and vendors. Serve as the facilities liaison for all Home Office maintenance and repairs Coordinate Home Office team member onboarding and offboarding, including distribution of faculty welcome packages, key cards, and technology. Liaise with finance team and coordinate on-site components of Home Office financial systems such as purchase orders, payroll records, grant reports, reimbursements, check requests, and financial forms. Support with filing and data entry. Support invoicing partners, as needed. Assist C-Team and broader Network Leadership Team with additional duties and special projects as needed. Seasonal School Site Support for Whole School Systems and Events
During key times of the year (i.e. school launch, school lotteries), travel to school sites to support with whole school systems and events:
Help school sites with logistics and preparations for school events and activities as needed (make photocopies, set up for special events, canvass, make phone calls to confirm attendance, etc.); Participate in necessary school wide duties for the safe and effective functioning of the school (i.e. occasional supervision of hallways, arrival/departure transitions, chaperoning in a field trip, etc.) Support student recruitment and enrollment (i.e. process new student applications, assist with tabling at student recruitment events) Support facilities maintenance through collecting feedback, completing walkthroughs, and submitting tickets for ongoing repairs and maintenance
Commitment to uphold Summit’s values, belief that all children deserve a rigorous and equitable education that prepares them for college and for life. Bachelor’s Degree is preferred. Prior School and/or Office Experience is strongly preferred. Fluency in English and Spanish preferred. Proficiency in Google Platforms, including Google Drive, Google Sheets, Google Docs, and Google Slides. Clear health and background check.
