About the Role
We are looking for a Business Manager/Business Operations Support with a strong interest in marketing to work closely with our Head of Marketing & Communications International based in Zurich and the growing marketing team building the iCapital brand in EMEA, APAC, LATAM, and Canada.In this Zurich-based role, you'll be ensuring smooth operations of the marketing department, supporting day-to-day administrative tasks, and acting as a key point of contact for the marketing team and various internal and external stakeholders globally. Your experience in working with teams and clients will shine as you navigate this dynamic role. Your ability to anticipate needs, pay meticulous attention to detail, and maintain the utmost confidentiality will be critical.
Key Responsibilities:
Liaison with Internal Stakeholders: Collaborate with internal teams such as compliance, legal, and finance to facilitate seamless operations. Calendar Management: Efficiently manage the Head of Marketing's calendar, scheduling meetings, appointments, and events to optimize their time. Administrative Tasks: Provide general administrative support, including email correspondence, phone calls, and document preparation. Budget Monitoring: Assist in tracking and monitoring the marketing department's budget, helping to ensure expenditures align with financial targets. Travel Planning: Organize complex travel itineraries for the Head of Marketing, both domestically and internationally. Event Support: Support in planning, coordination, and execution of marketing events in Switzerland and the EU, including conferences, roadshows, and client events. Expense Reports: Process and manage expense reports, ensuring accuracy and adherence to company policies. Branded Merchandise and Event Materials: Keep track of branded merchandise inventory and coordinate the production and distribution of event materials. Marketing Collateral Management: Manage and update the library of marketing collaterals, including brochures, thought leadership content, and other materials, ensuring they are up-to-date and readily accessible.
Qualifications:
Minimum of 5 years of proven experience as a business operations manager or executive support or administrative assistant; Of which 2+ years in the financial industry or marketing. Detail-oriented, with a commitment to high-quality work. Passion for marketing and a genuine interest in the industry. Experience in working with international teams and across various timezones. Exceptional organizational and time management skills. Energetic and engaged professional who is passionate about working with people and exceeding expectations. Strong communication skills, both written and verbal. Fluent in English and German, additional languages are a plus. Ability to handle sensitive and confidential information with discretion. Adaptability and a proactive approach to problem-solving. Proficiency in office software tools, including Microsoft Office suite.
