Title: Business Manager & Executive Assistant
Position Summary:
Reporting to the President, World Courier, the Business Manager & Executive Assistant will provide high-level administrative support to the President and key members of the executive leadership team. They will also oversee the management of the World Courier global head office. The role includes responsibilities such as serving as a business manager for senior executives, managing office requirements, coordinating global travel, organizing major events, and line managing one staff member.
Primary Duties and Responsibilities:
Business Management & Executive Support
Provide advanced administrative support to the President and Senior Executives.Maintain flexibility and availability to make necessary changes when executives are traveling across different time zones.Process monthly expenses.Coordinate communications including calls, emails, and interactions with clients and stakeholders.Prepare reports, spreadsheets, PowerPoint presentations for senior executives.Provide support within the team by covering for other PA's absences when required.Organize confidential files, manage data, and maintain accurate records.Demonstrate a positive work ethic by being decisive, responsible, and taking ownership of issues that arise.
Meetings
Prioritize extensive and complex diary priorities for both business and personal meetings.Arrange lead team meetings in collaboration with relevant Regional VPs/Lead Team members.Ensure leadership team is prepared for all meetings by providing necessary materials and information.Attend relevant meetings to take notes or action points as requested.
Headquarters Facilities & Office Management
Act as the go-to person for management office employees and visitors attending the office.Ensure seamless management of meetings held in the management office including catering organization.Collaborate with Technology, Compliance, and Human Resources teams to facilitate employee setup processes.Oversee day-to-day maintenance of the office working closely with building management and external cleaning staff.Manage office supplies ordering process.
Global Vendor Management
Manage key vendor relationships at a global level for World Courier (and locally for London office).Global preferred travel providerExpenses (Concur)AmexPreferred taxi, transfer, and courier servicesCompany mobile phone providerOther office suppliers
Events Management Responsible for event planning & management including company events/off-site meetings (Attendance may be required):

Experience and Educational Requirements:
Extensive previous experience in a fast-paced environment working as a high-level business manager/executive assistant supporting senior leaders. Typically requires minimum five (5) years of progressively responsible experience.
Minimum Skills, Knowledge, and Ability Requirements:
• Line management experience
• Strong track record supporting senior leadership team members
• Excellent communication skills - both verbal and written
• Ability to independently manage multiple tasks under pressure while meeting deadlines
• Excellent attention to detail, organizational skills
