WHAT YOU'LL DO: The Therapy Office Coordinator is responsible for daily compliance checks for documentation and billing which includes multiple verifications between electronic record reports and manual systems of tracking. Daily chart management, filing, and storage of charts are included in the responsibilities of the Therapy Office Coordinator. Therapy Office Coordinator monitors all charts for completeness and accuracy and verifies third part authorization for services. Therapy Office Coordinator is one of persons who receive subsequent authorization for services and tracks the duration of authorization. The Therapy Office Coordinator is one of the primary persons who receives and properly manages phone calls to the department. The Therapy Office Coordinator along with the therapy aides are responsible for daily maintenance of the physical plant including quality controls, daily cleaning, and laundry management while assisting with patient care. Compliance with the practice acts for physical therapy, occupational therapy, speech therapy, regulatory agencies, payer guidelines, and policies and procedures of the department is maintained through all levels and arenas of patient care. Each staff member is responsible for the provision of optimal patient care in a safe and appropriate manner, accurate and complete documentation, interdisciplinary collaborative care, and cooperative function of the department and the hospital district. ____________________ Summary of Secondary Responsibilities The Therapy Office Coordinator is responsible for assisting with all other aspects of department function when primary responsibilities have been completed. These may include participation in quality control, performance improvement processes, staff development, compliance processes, program development, and assistance to other staff members for completion of their primary responsibilities.____________________ Work Area Assignment The Therapy Office Coordinator will be assigned a varied work area schedule which may include hospital based programs, outpatient clinic programs, or contract services. Hospital based programs include outpatient wound, inpatient acute including wounds, outpatient nursing home, extended care, and home health. The outpatient clinic programs include adult and pediatric musculoskeletal and neurological programs. Contract services include school based programs. As additional programs are developed or programs are transitioned to different sites, assignments may change. Each staff member is expected to remain flexible and develop competencies in all areas that are within the scope of services. ____________________ Attitude and Behavior The Therapy Office Coordinator is expected to demonstrate attitudes and behaviors consistent with professional duties, a pro-active approach to conflict resolution and problem solving, and flexible cooperation within the hospital district. ___________________ Compliance The Therapy Office Coordinator must maintain compliance with practice acts governing the disciplines in the physical rehabilitation department as legislated by the State of Texas. Compliance with regulatory agencies, payer guidelines, and the policies and procedures of MCHD and the department is expected. ___________________ Provision of Patient Care The Therapy Office Coordinator is expected to assist with all patient care by insuring correct scheduling, notifying patients and staff of cancellations or rescheduled appointment, and facilitating prompt communication with the physician. All interaction is age appropriate and diagnosis appropriate in compliance with practice acts, regulatory agencies, payer guidelines, and policies and procedures of MCHD and the department. Collaboration with other staff and other care providers and patient education are included in the continuum of care. Provision of patient care includes contact within and outside of the hospital system in regards to the patient’s status and care and performing patient set-up and assisting therapists and licensed assistants when needed. _____________________ Documentation The Therapy Office Coordinator is responsible for daily verification of charges by comparison of therapist’s daily worksheets, billing lists, and GL lists. The Therapy Office Coordinator will assist therapists in formal reports by transcribing information from another format in to the electronic documentation for proofreading and editing by the therapists. Documentation by the clerical assistant for performance tracking for performance improvement is expected to be complete, timely, concise, and accurate in compliance with the policies and procedures of the MCHD, MNRC, and the department. EDUCATIONAL/EXPERIENCE REQUIREMENTS: High School Diploma or Equivalency Documentation of the need for any accommodation as required by ADA Keyboarding skills and knowledge of Microsoft Office are required. EXPERIENCE REQUIREMENTS: Experience in health care setting preferred. LICENSURE / CERTIFICATION REQUIREMENTS: None OTHER REQUIREMENTS: Bilingual for Spanish and English is preferred.
