Description We are seeking an Administrative Assistant in Miami, Florida to join our team. This role is a short term contract employment opportunity. The Administrative Assistant will be responsible for a variety of tasks, including office management duties, preparing materials for meetings, and assisting with travel arrangements.
Responsibilities:
• Manage conference room scheduling and setup
• Assist with the preparation of materials for meetings, including data entry, filing, scanning, and faxing documentation
• Handle general office duties and arrange catering for meetings
• Assist with travel preparations, including flight, car, and hotel arrangements
• Prepare a variety of communications such as memos, emails, invoices, reports, and other correspondence
• Write and edit a range of documents from letters to reports and instructional documents
• Answer inbound calls and provide excellent customer service
• Maintain accurate customer credit records
• Ensure efficient processing of customer credit applications
• Utilize Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word for various tasks. Requirements • Proficiency in Microsoft Office Suite including Microsoft Word, Microsoft Excel, Microsoft PowerPoint, and Microsoft Outlook
• Ability to efficiently manage and schedule appointments
• Strong data entry skills with attention to detail
• Excellent customer service skills and a friendly demeanor
• Experience in handling both inbound and outbound calls
• Ability to respond promptly and professionally to email correspondence
• Experience in answering inbound calls promptly and professionally
• Ability to work in a fast-paced environment and multitask effectively
• Strong organizational skills and the ability to prioritize tasks
• Excellent written and verbal communication skills
• Ability to work effectively both independently and as part of a team
• Demonstrated problem-solving skills and the ability to handle adversity
• Proven track record of reliability and consistency in previous roles.
