Penguin Random House (PRH) Corporate Services is currently seeking an Associate, Corporate Services to join their team. This integral role will report to and support the SVP, Corporate Real Estate & Corporate Services. They will also provide some support to the VP, Corporate Services, Executive Director, Conference Services, and Executive Director, Facilities/Office Services & Security, as needed.
The successful candidate will work and communicate well with both publishing and operational staff, as well as with vendors. The role offers an opportunity to grow, learn and develop given the strengths of the successful candidate. The Corporate Services Department provides essential services in support functions (office services, records retention, mailroom and messenger centers, reprographics/print shop, security, facilities, purchasing, real estate, conference services and travel, auto fleet) for our 300+ publishing imprints.
Job Responsibilities:
• ADMINISTRATIVE: Provide administrative assistance for SVP, Corporate Real Estate & Corporate Services.
• Process travel and expense reports.
• Overseeing various department operations such as scheduling and greeting visitors, team calendars, assistance with meeting preparation, recording, and distributing notes from various meetings, opening, and sorting mail, copying and maintaining e-files and physical folders.
• FACILITIES AND OFFICE SERVICES: Serve as the point person to receive and coordinate Office Services hotline requests from Penguin Random House employees via telephone, email, etc.
• Enter employee and building related requests into 1745 Building Management System (BMS).
• Review BMS work orders for accuracy; obtain code, process, and log accordingly.
• PURCHASING: Order Facilities/Office Services/Purchasing supplies as needed.
• Create purchase orders for large, one-off projects.
• Record, code, process, and track vendor invoices for Facilities/Office Services.
• CONFERENCE SERVICES:Assist with final hotel and vendor billing reconciliation post-meetings and events.
• Research and recommend new vendors for off-site events; locations and/ catering.
• Assist in maintaining the team’s overall systems organization (i.e., printing badges, shipping materials for conferences, etc.)
Qualifications and Skills:
• Prior office experience preferred.
• Strong time management, organizational and prioritization skills.
• Ability to work well under pressure and handle multiple responsibilities in a fast-paced environment.
• Proficient computer skills including in Microsoft Office (Excel, Word, Outlook, Teams, and PowerPoint); experience with Adobe Acrobat and SAP a plus.
• Proficient oral and written communication skills, with the ability to communicate effectively with employees across all levels of an organization.
• Professional and friendly manner on the phone, over email, and via other written correspondence.
• Ability to pay attention to detail is essential.
• Handle sensitive and complex issues in a professional, discrete, and objective manner.
• This is a NYC-based, in-office position and will require someone within commutable distance to support our building facilities and office services.
The salary for this position is $53,000. All positions are currently eligible for annual profit award or bonus, subject to Company results.
