  Asociado administrativo - Nivel 1 - Servicio

  Description

  Follows established procedures and guidelines to provide timely and effective administrative support to an office, business unit, department, or other organization group. Performs activities under direct supervision.

  Answers telephones, screens calls and takes messages so callers/visitors are dealt with promptly, courteously and accurately.

  Transcribes, type, format and proof reads a variety of material (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spreadsheet software.

  Coordinates internal and external meetings. This may include scheduling meeting times, making travel arrangements for attendees and ensuring that various meeting amenities are available.

  Manages the appointments and schedules of staff in the unit.

  Uses office equipment such as photocopiers, faxes and printers.

  Performs other administrative tasks according to established guidelines and procedures so these activities are completed accurately and on time. Activities may include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or other inventory.

  Data Analytics - Discovers, interprets and communicates qualitative and quantitative data; determines conclusions relying on knowledge of business or functional frameworks; simultaneously applies statistics, data validity, data visualization, and problem solving approaches to effectively extract meaningful patterns and business insights; presents conclusions and outcomes that enable data driven business decisions.

  Education, Licenses, Certifications

  High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.

  This position may require licensing for compliance with export controls or sanctions regulations.

  Experience

  Minimal or no work experience required.

  Provides administrative support by conducting investigations, preparing reports, and resolving common information requests.

  Collects, compiles and verifies information by accurately entering it into documents such as reports, presentations or forms; and office systems such as databases or spreadsheets.

  Assists with data collection, data entry, and reporting on various departmental activities.

  Assists with associated functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

  Responds to, or redirects, routine inquiries from external or internal sources about the organization/department, its activities or processes so that callers/visitors are handled promptly and accurately.

  Documents and maintains departmental policies and procedures.

  Participates as a team member on department-related business improvement tasks and projects as required.

  Performs other routine administrative activities as necessary according to established organizational and/or department procedures.

  Administration and management of sales and transfer orders in netsuite.
