The Appointment Services Coordinator\'s main responsibility istraining of central scheduling staff. The Coordinator will beresponsible for training of staff and providing coverage for multipleteams (typically 3 teams, 40+ schedulers). Additionally must be able toanswer and direct calls, assist patients in finding the appropriatephysician based on their needs and location, complete registration ofnew patients (including adding insurance coverages), verification andupdating of registration, scheduling of appointments following protocolsand all scheduling tools. This includes ensuring referral work queuesand all appointment requests are worked within service standards. Thescope of this position is extensive and requires the ability to schedulefor hundreds of providers in approximately 20 or more specialties andtrain staff to do the same, ensuring that they are consistently meetingquality and productivity standards. Responsibilities: Assists withquality control measures and special projects and quality review of selfand colleagues to ensure quality and productivity goals are met. Keepsall scheduling department reference and training materials organized andupdated. Verifies accuracy of enterprise protocols and all schedulingtools. Trains scheduling staff (3 teams or more, 40+staff) on theresponsibilities below and accurately and efficiently performs all theseresponsibilities to assist the teams as needed. Triages calls todetermine caller needs and provide excellent customer service, doingwhatever possible to meet patient needs. Responds to inquiries and/orroutes calls, messages and requests to appropriate individuals or areas.Receives and dispatches messages and information for assigned teams.Encourages patients to sign up for MyChart and the Froedtert & MCW Ap tohelp manage their healthcare electronically and steps them through theprocess to get activated on these online tools. Completes fullregistration including setting up insurance coverage for new patientsand verification of registration and coverage information forestablished patients. Runs electronic eligibility to verify coverageinformation and ensures the insurance is accepted by our physiciangroups. Completes MSP questionnaires with Medicare patients.
