What You'll Do
Calendar management and telephone coverage of the designated Managing Director (MDS) and/or Directors
Coordinate meeting bookings; tasks include conference room reservation, video conferencing, preparing, and printing meeting materials, sending invitation to participants, organize agendas, materials, and attendees in relation to management or team meetings and minute/action points as necessary, create monthly event calendar
Book travel arrangements for domestic and international trips including airline reservations, hotel accommodations, car rental, creating meeting agenda and printing meeting materials using Microsoft Office Suite PowerPoint, Excel, and Word as requested
Prepare and submit expense reports in the Concur T&E system on a timely basis in compliance with Deutsche Bank expense policy for the coverage groups
Handle day-to-day administrative tasks and/or management requests such as printing documents, submitting technology requests, scheduling interviews, greeting internal and external guests, coordinate on-boarding of new employees and contractors to minimize set-up time e.g. desk location, Desktop on demand (DOD) set up, log ins, security passes, lockers etc on an as needed basis
Liaise with Regional Chief Operating Officer (COO) /BM Team relating to all travel and meetings
Skills You'll Need
Bachelor's degree (not mandatory) or equivalent work experience
A professional employee with moderate experience as an administrative assistant to heads of departments
Proficient computer skills to include Outlook Mail/Calendar, Excel, Word, and PowerPoint
Extensive knowledge of the Concur, Travel, Expense and Deutsche Bank Buyer systems

Able to demonstrate excellent written, verbal communication skills, demonstrate strong analytical, interpersonal skills, professionalism, and teamwork awareness
Detail oriented with excellent organizational skills and ability to prioritize effectively
A self-starter, strong work ethics with minimum oversight & flexible to work outside business hours as needed
Able to coordinate activity, information and communicate issues to Senior Management, local management, divisional groups, and staff
Expectations
It is the Bank's expectation that employees hired into this role will work in the Jacksonville office in accordance with the Bank's hybrid working model.

The salary range for this position in Jacksonville is $40,000 to $65,000.Actual salaries may be based on a number of factors including, but not limited to, a candidate's skill set, experience, education, work location and other qualifications. Posted salary ranges do not include incentive compensation or any other type of remuneration.
