About the role:
We seek a talented, self-motivated Administrative Coordinator to join the lab of Dr. Michael Elowitz at the California Institute of Technology. The Elowitz lab operates in the fields of systems and synthetic biology. It seeks to analyze and create biological circuits operating in living cells, for fundamental understanding and therapeutic applications. As a the Administrative Coordinator, you will support Dr. Elowitz and the lab team with a wide range of advanced, diversified, and confidential administrative duties. Your critical thinking skills, initiative, and sound judgment based on your experience will be required to manage tasks, resolve problems, and make recommendations. These tasks may be complex and require considerable judgment, independent action and a high degree of initiative since you will be performing your work with a high level of autonomy and independence.

What you'll do:
Key Responsibilities:
Grant and Project Management
Coordinate and track grant applications, including the preparation of figures, progress reports, and related materials.Monitor deadlines for grants, fellowships, and other time-sensitive projects to ensure timely submissions.Assisting with editing and submitting letters of recommendation.Compose, edit, proofread, research and compile letters and/or special reports. Perform miscellaneous clerical duties as required.
Recruitment and Personnel Support
Pre-screen applicants for lab positions, coordinating recruitment processes.Assist Dr. Elowitz with editing and submitting letters of recommendation.
Administrative and Financial Management
Organize, book, and manage travel arrangements for Dr. Elowitz and lab members, ensuring timely and cost-effective plans.Process reimbursements for travel and other approved expenses.Assist with lab budget management and finances, coordinating budgets for HHMI and non-HHMI grants.May assist in office space and facilities.Assisting PI with managing email inquiries.Answer routine inquiries without further consultation, resolve routine matters and respond to minor problems or complaints.
Communication and Event Coordination
Organize and schedule lab meetings, retreats, and other events.Assist Dr. Elowitz in managing email inquiries, helping to triage messages and draft responses.Act as liaison between laboratory and host institution as required. Serve as liaison with administrative staff of other departments and provide information regarding laboratory activities.
Lab Operations and Data Management
Act as a primary contact person for various lab activities and issues.Ensure that published lab data, code, and other products are permanently stored, maintained, and accessible, following lab and institutional policies.Maintain records of Institute policies and procedures and communicate changes to appropriate personnel. Act as a point person for various lab activities and issuesEnsure that published lab data, code, and other products are permanently stored, maintained, and made accessible.Using a wide variety of computer systems or tools to address lab needs and identifying new tools to increase efficiency.

What you bring:
Qualifications
Education
Bachelor's degree; or an equivalent combination of education and related work experience
Experience
Four or more years of increasingly responsible administrative experience. Experience working in a research environment preferred. Knowledge of scientific terminology and familiarity with research laboratory operations are a plus. Experience with Host Institution and HHMI computer systems preferred.Applicant with some background in scientific and especially biomedical research preferred.

Compensation Range
$69,190.00 (minimum) - $86,500.00 (midpoint) - $112,420.00 (maximum)

HHMI's salary structure is developed based on relevant job market data. HHMI considers a candidate's education, previous experiences, knowledge, skills and abilities, as well as internal equity when making job offers. Typically, a new hire for this position in this location is compensated between the minimum and the midpoint of the salary range.
