  Job Description Summary

  The Department of Biostatistics, Epidemiology and Informatics (DBEI) and Center for Clinical Epidemiology and Biostatistics (CCEB) comprise over 150 staff, and over 100 primary and secondary faculty. This position will be responsible for providing administrative support to the Staffing and Recruitment section of the DBEI/CCEB. This person will have primary responsibility for managing and responding to all email communications related to HR issues for the DBEI and CCEB. This role will help keep processes on task and serve as a liaison between PSOM Human Resources and the Business Office leadership and DBEI/CCEB Community. In addition, this position will be responsible for the maintenance of employee training/certification records, including HIPAA compliance and other mandatory training certifications.

  Job Responsibilities

  Manage DBEI-HR central email address - following up with PIs/staff on status of hires/terminations

  Maintain HR master spreadsheet for all hires, transfers, and terminations - providing weekly updates to the HR group and to Business Office Leadership

  Complete Workday hiring process for BTG annual student enrollment and assist with all other student hires and temporary employees for Department/Center

  Support new employee experience initiatives to include onboarding and new employee orientation making sure they have email accounts, lab keys, Penn ID Card, building access etc.

  Responsible for the maintenance of employee training/certification records, including HIPAA compliance, and other mandatory training and regulatory certifications

  Any other basic HR functional support as requested.

  Qualifications

  High School Grad/GE Degree and 5 years of experience or equivalent combination of education and experience is required. Associate’s Degree or Bachelor’s Degree preferred. Strong organizational skills and the ability to work independently are essential. Must be a motivated self-starter, able to juggle multiple tasks simultaneously. Ability to handle highly confidential information. Must be able to maintain tact and discretion in dealing with sensitive matters in an emotionally charged setting. Ability to communicate effectively at all organizational levels, and to overcome occasional language barriers effectively. Prior experience with fundamental HR functions, including staff and labor relations, recruitment and staffing, and compensation preferred.
